Position Summary The Patent Prosecution Legal Secretary will operate as part of a team of lawyers and staff to provide a high level of service to our clients. The Patent Prosecution Legal Secretary will assist, under the supervision of lawyers, in the preparation, filing, and prosecution of patents with the US Patent and Trademark Office (USPTO). This is a fully remote position. Job Duties/Responsibilities - Prepare patent prosecution specific documents for filing with the USPTO, including patent applications, responses/amendments and appeal briefs - Prepare USPTO forms for filing documents with the USPTO, including application data sheets, powers of attorney, inventor declarations, terminal disclaimers, extensions of time, and all other formalities - Handle client correspondence, including reporting to client documents filed with and received from the USPTO - Prepare and collect client signatures on assignments, inventor declarations and powers of attorney - Provide legal and non-legal administrative support to attorneys/patent agents and clients - Maintain electronic docket on a regular schedule and send reminders to attorneys/patent agents as necessary - Confirm all statutory deadlines are handled - Process intake of new clients - Create client electronic files/workspace - Organize, update, and maintain client electronic files/workspace - Manage specific client databases and client correspondences daily - Work with billing specialist to prepare client invoices, create cover letters, and send client invoices Qualifications Required Skills/Abilities - Minimum of 2 years IP experience focused on patent prosecution - Demonstrated proficiency in Microsoft Office (Excel, Outlook, PowerPoint, and Word), Outlook, Adobe Acrobat and Adobe Pro, Document Management, time entry systems and Patent Prosecution specific databases including Inprotech or CPI - Strong knowledge of steps involved in patent prosecution from application filing to issuance of patents - Familiarity with electronic document management systems, iManage a plus - Familiarity with electronic filing with the USPTO - Strong attention to detail - Professional interpersonal communication skills, both verbal and non-verbal - Excellent teamwork and collaboration skills - Client service/customer satisfaction oriented - Self-motivated and able to effectively utilize time and resources - Thorough knowledge of . patent prosecution procedures and PTO rules and forms Education - Bachelor’s degree or certificate in paralegal studies Job Related Competencies - Attention to Detail - Accountability - Customer Oriented - Collaboration - Communication - Consistent Excellence - Efficiency - Initiative Equal Employment Opportunity Law Firm is committed to a policy of Equal Employment Opportunity and will not discriminate against an applicant, or an employee based on race, color, ancestry, national origin, citizenship, sex, age, physical or mental disability, veteran or military status, genetic information, sexual orientation, gender identity, marital status, or any other legally recognized protected class under federal, state, or local law.
