**Job Description**

A Law Firm is searching for an experienced Legal Administrative Assistant to join their team. The ideal candidate will have a minimum of 5 years of administrative experience in a fast-paced law firm environment, have a strong track record of stable work history with at least 1 prior law firm, and possess excellent communication skills, both written and verbal. **Qualifications**

- Litigation experience preferred
- Strong track record of stable work history with at least 1 prior law firm
- Must be willing to work in a team environment
- Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook) and Adobe programs
- Experience with time entry and billing software
- Experience with an online/electronic document management system (iManage preferred)
- Excellent communication skills, both written and verbal; demonstrated understanding of correct grammar, spelling, and punctuation
- Strong organization skills and attention to detail
- Ability to handle pressure of multiple projects and manage time sensitive deadlines
- Must be a self-starter and take initiative
- Excellent proofreading and editing skills
- Experience with mailing labels and mailing packages via USPS, UPS, FedEx, etc.
- Ability to report to the office 5 days a week as scheduled
- Ability to work a schedule of 9:00 – 6:00
- Ability to work occasional overtime if needed

**Primary Responsibilities**

- Maintain and organize physical and electronic files
- Follow the standard naming and profiling conventions when scanning, emailing, and saving documents to the document management system
- Generate standard cover letters for correspondence, memoranda, and other legal documents
- Prepare and handle large volume of emailing, faxing, scanning, and mailing of letters and documents
- Update tracking charts, forms, and spreadsheets
- Enter, review, and revise attorney timesheets, including use of firm mandated guidelines and follow up with assigned attorneys to ensure prompt and accurate entry of time
- Consistently and accurately complete assigned tasks when expected and in a timely manner
- Juggle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seek assistance when needed
- Maintain a high level of awareness and protection of confidential information and documents
- Answering attorney phones, taking detailed messages, transcribing voicemails, etc.
- Manage attorney calendars, coordinate conference calls as well as conference rooms, when needed
