Law Firm Seeking Experienced Litigation Secretary for San Francisco Office

Primary Responsibilities:

- Draft and format legal documents, including correspondence and briefs.
- Prepare and process engagement letters and new client/matter requests.
- File court documents accurately and on time, following federal, state, and judge-specific requirements.
- Proofread all documents for accuracy and completeness before distribution or filing.
- Maintain updated client files, both paper-based and electronic, in accordance with office policies.
- Manage attorney calendars and deadlines through electronic calendaring and docketing systems.
- Arrange meetings and conference calls, as well as travel arrangements for assigned attorneys.
- Enter, review, and revise timekeeper time entries with consistent identification of litigation codes.
- Organize travel and complete expense reimbursements for assigned attorneys.
- Review and ensure accuracy of vendor invoices and submit timely payments.
- Participate in the review and submission of pre-bills and client bills.

Requirements:

- High school diploma or GED required (college degree preferred).
- 5+ years of experience as a litigation legal secretary.
- Knowledge of formatting documents in accordance with firm standards.
- Experience with state and federal court filings, both manual and electronic.
- Strategic thinking, problem-solving, and decision-making skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to work well under pressure.
- Team player with a positive attitude and willingness to assist others.
- Proficiency in MS Outlook, Word, Excel, and PowerPoint.
- Experience with document management systems and legal software preferred.
