Law Firm is Looking for LCS Client Case Coordinator

Law Firm is seeking a LCS Client Case Coordinator to join their Global Services Center Practice Area. This role is responsible for maintaining and distributing documents aligned with client requirements for internal use as well as creating and maintaining a master file for each client’s LCS-specific protocol and procedures. The ideal candidate should have 5-10 years of applicable work experience and strong administrative and communication skills.

Job Responsibilities:

Maintain and distribute documents aligned with client requirements for internal use as well as creating and maintaining a master file for each client’s LCS-specific protocol and procedures.
Monitor numerous email client boxes and update CaseSmart Intake Form timely and accurately.
Accurately and timely maintain and upkeep of assigned client(s) data within the LCS database.
Manage receipt and review of client documents; review and distribution of professional correspondence including uploading client documents for each matter to the appropriate extranet folder.
Correspond with appropriate agency (Federal and State) to obtain missing charge pages, Notice of Charge documents, and related filings.
Perform research and initial discovery related to new charges by utilizing Firm and Client databases and other systems; and completing the Intake Code Sheet for each new charge to enable further processing.
Professional and appropriate communication with all levels of client personnel, internal Littler resources, external agencies, charging parties and their representation.
Knowledge of and ability to research additional Client systems, or outside systems, to garner information; ability to review information and discern gaps or additional data needed to meet attorney requests.
Manage and submit legal report requests to the Client per the Client's requested procedures based on attorney requests; including calendaring and tracking deadlines based on industry legal requirements and required deliverables.
Appropriately broker client inquires and requests to appropriate Littler resources, including attorneys, LCS management and internal corporate departments.

Technical Skills and Competencies Required:

Ability to craft and follow multiple processes and protocols across several clients and data fields.
Ability to learn tools and techniques relating to data management, reporting and auditing.
Ability to perform required research, review and record search results, save and upload documents to Firm electronic libraries.
Ability to organize and prioritize numerous tasks and complete them under time constraints.
Ability to work within multiple computer system environments simultaneously.
Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of Client attorneys and staff and provide information with ordinary courtesy and tact.
Ability to proofread typed material for grammatical, typographical and spelling errors.
Ability to operate standard office equipment, including personal computer, copier, typewriter, facsimile, telephone and scanner.
Proficiency with Microsoft Word, Microsoft Excel, web-based programs/ applications, and web-based research tools.

Education and Certifications:

High School Diploma or equivalent required.
Paralegal certification a plus.

Experience Required:

5-10 years applicable work experience.
Strong administrative and communication skills required.

Working Conditions:

This position will be following a hybrid work schedule with the flexibility of working remotely and in-office. Management will determine work schedule and may alter schedule to align with business needs. Office environment with little exposure to excessive noise, dust, temperature, and the like. This position will comply with all Firm policies including the Hybrid obligations of the Firm’s Employee Information Governance Policy.
