Litigation Secretary at Law Firm - Los Angeles, Full Time

Position Summary:

The Law Firm is seeking a skilled and experienced Litigation Secretary to join our team in Los Angeles. In this role, you will provide complex and specialized secretarial and clerical support to assigned attorneys and paralegals, while maintaining good client relationships and adhering to firm policies and procedures. The ideal candidate will exhibit fast and accurate typing skills, proficiency in Microsoft Word and other firm applications, and the ability to work independently and as part of a team in a fast-paced environment.

Position Responsibilities:

- Prepare and transcribe documents for timekeepers, including redlining and proofreading end products.
- Manage incoming and outgoing telephone calls in a professional manner.
- Maintain good client relationships for attorneys.
- Review, date stamp, and route incoming correspondence and pleadings.
- Enter time using Intapp on a daily basis and maintain records.
- Create and maintain files, ensuring they are up-to-date and organized.
- Assist other secretaries and timekeepers when needed.
- Prepare New Business Forms, conflict sheets, and engagement letters.
- Process expense reports, check requests, and other financial documents in accordance with accounting guidelines.
- Coordinate messenger service, copy center, and fax requests.
- Utilize CRM tool for business development, including updating contact information and resolving conflicts.
- Make travel arrangements and adhere to the firm's Travel Policy.
- Review and handle prebills.
- Maintain current floater/backup instructions and client/matters lists.
- Manage attorney/paralegal calendars and schedule meetings.
- Coordinate internal procedures and compile backup materials for audit letter responses.
- Reconcile telephone charge reports.
- Type and file a variety of litigation pleadings and discovery documents.
- Conduct legal research if requested.
- Exercise caution to prevent injuries to oneself and co-workers.
- Perform any other duties as assigned or required.

Skills & Experience:

Required:

- Fast and accurate typing skills.
- Proficiency in Microsoft Word, Outlook, DTE, Adobe Acrobat, FileSurf, and other firm applications.
- Proficiency in CRM tool after training at Cooley LLP.
- High school diploma or GED.
- Knowledge of court rules and procedures and legal terminology.
- Availability for overtime as needed.

Preferred:

- Previous litigation secretarial experience.
- College degree or business college certificate.

Competencies:

- Ability to work independently and as part of a team in a fast-paced environment for multiple supervisors.
- Strong organizational skills and ability to prioritize work assignments.
- Initiative, diplomacy, and tact.
- Excellent written, communication, and proofreading skills.
- Professional and polite demeanor when interacting with clients, co-workers, and court personnel.
- Reliability, commitment, and punctuality.
