Intellectual Property Docket Administrator - Job Description

Armstrong Teasdale LLP is seeking an experienced Intellectual Property (IP) Docket Administrator to join our team in our St. Louis office. The IP Docket Administrator will be responsible for managing the docket system to track deadlines and mitigate malpractice. This role will also support foreign docketing processes and have a heavy international focus. The ideal candidate will have 2-4 years of related experience, with a preferred 3-5 years, and a high school diploma or equivalent.

Responsibilities:

- Manage and monitor docket management for filing deadlines, including response dates for attorneys.
- Conduct research on current rules and practices and oversee docketing procedures.
- Supervise and provide professional development to other team members within the docketing department.
- Generate daily and weekly reports for attorneys and clients as requested.
- Work with IT to ensure updates and maintenance to the docketing database system remain current.
- Serve as the main point of contact with the docketing database system vendor.
- Enter and manage data in the docketing database system, and generate and route docket sheets to attorneys and their administrative support.
- Review transferred new matters and enter due dates into the docketing system.
- Prepare patent application filing requests and transmittals, file Patent Cooperation Treaty (PCT) patent applications electronically, and handle all associated prosecution filings and client correspondence.
- File foreign applications (via direct or national/regional phase) through foreign patent counsel, and manage all associated formality requirements and non-substantive actions during foreign prosecution.
- Review and approve patent invoices from foreign counsel.
- Process and docket email requests from attorneys, secretaries, and others.
- May report correspondence to clients.
- Download and save pleadings to the firm's internal document management system/case docket and distribute to the case team.
- Assist with conducting Internet research and patent screening searches.

Qualifications:

- Strong communication skills to share information using data and support an argument or point of view, keep the team informed about progress and potential problems, and understand the appropriate level of confidentiality required.

- No travel required.
