Greenberg Traurig, a global law firm, is seeking a skilled Legal Support Specialist with three or more years of experience to provide high-level secretarial and administrative support to attorneys across the Firm’s three Northern California offices. This is a mid-level or intermediate role, and the candidate should have a flexible schedule to work overtime as needed. The position is eligible for a hybrid working schedule, with the option to work remotely on Mondays and Fridays.

Position: Legal Support Specialist (Multi-Practice)
Location: Hybrid Remote, Sacramento, CA
Salary: - (based on experience and other job-related factors)

Responsibilities:

- Provide high-level secretarial and administrative support to three or more attorneys across the Firm's three Northern California offices.
- Assist attorneys in preparing cases from inception through post-trial.
- Collaborate with the Firm's docketing department to ensure all case events and deadlines are properly recorded.
- Handle scheduling and travel arrangements for attorneys.
- Organize and coordinate flow of information, including sorting and annotating incoming mail and documents.
- Type and compose general correspondence, legal documents, and other materials.
- Prepare draft documents such as briefs, complaints, motions, and subpoenas.
- Coordinate multi-document filings in Federal, Circuit, and State courts.
- Establish and maintain filing and records, both hard copy and electronic.
- Enter lawyers' time and prepare client billing.
- Research and abstract information in preparation for meetings, work projects, and reports.
- Take action authorized by lawyers or Business Director.
- Assist with all stages of litigation cases.
- Ascertain calendaring requirements for each matter and ensure proper maintenance of case calendars.
- Oversee organization and maintenance of case-related materials.
- Assist with the discovery process.
- Perform analytical tasks, including preparing witness interview memoranda and reviewing and summarizing documents.
- Assist with law and motion practice.
- Perform and oversee cite checking and proofreading of briefs and other legal documents.
- Assist with trial preparation.
- Assist with printing, scanning, and organizing exhibit binders.
- Perform other duties and responsibilities as assigned.

Skills & Competencies:

- Established understanding of litigation laws.
- Proficiency with court document filings.
- Comprehension of a variety of legal court documents.
- Strong ability to maintain high standards and use good judgment.
- Attention to detail, organizational skills, and time management.
- Excellent interpersonal and communication skills.
- Ability to work under pressure and meet strict deadlines.
- Manual dexterity for handling objects and operating tools.
- Ability to lift files and open filing cabinets.
- Ability to walk and sit for extended periods of time.

Qualifications & Prior Experience:

- Bachelor's Degree or equivalent experience preferred.
- Minimum 3 years of experience as a legal secretary in a business law practice.
- Experience in California litigation required.
- Computer proficiency in Microsoft Office Suite and document management.
- Expertise in e-filing in California courts.
- Exceptional computer skills and ability to learn new software quickly.
