Womble Bond Dickinson (US) LLP is seeking a skilled File Intake/Transfer Manager to join our growing team. As a key member of our administration department, you will be responsible for managing the intake and transfer of all incoming files and information. This is a great opportunity for a detail-oriented and organized individual with a strong background in business administration or paralegal studies. H1: Join Our Team as a File Intake/Transfer Manager at Womble Bond Dickinson (US) LLP H2: Responsibilities and Requirements for Our File Intake/Transfer Manager Role Responsibilities: - Manage the entire process of file intakes and transfers, from start to finish - Work closely with multiple teams to ensure a smooth and efficient intake and transfer process - Collaborate with the General Counsel's office, Legal Project Assistants, and local office Directors of Administration - Utilize provided charts and systems to organize and enter all relevant information - Coordinate with the Billing team on client billing rates and project billing - Receive and track incoming files and docketing information for all practice groups - Communicate with IP Docketing team to manage workflow and deadlines - Maintain accurate records of all files and their status - Assist with the preparation of reports and statistics related to file intake - Create client matter number matrix for matching files from old firm to new firm - Ensure files are transferred out of the firm in accordance with procedures - Assist with drafting client transfer letters and tracking responses - Work with IT personnel to transfer necessary information Requirements: - Bachelor's degree in business administration, paralegal studies, or equivalent experience - Knowledge of IP laws, regulations, and docketing procedures - Strong attention to detail and accuracy - Ability to work independently and collaboratively - Proficiency in Microsoft Office and ability to learn new software quickly - Willingness to travel up to 25% of the time - Excellent written and oral communication skills - Self-motivated with the ability to maintain confidentiality - Strong organizational skills and ability to manage multiple tasks and deadlines - Professional demeanor and ability to maintain confidentiality Salary Information: This is an exempt position with a competitive salary based on experience and qualifications. Experience Information: Candidates should have a Bachelor's degree in business administration, paralegal studies, or equivalent experience. Experience with IP laws, regulations, and docketing procedures is preferred. Prior experience with file intake and transfer is also beneficial.
