Job Title: Executive Assistant / Legal Administrator
Job Responsibilities:
- Provide comprehensive administrative and logistical support to the General Counsel (GC), including scheduling, correspondence, and project management.
- Act as a point of contact for building management.
- Provide backup support to the Executive Administrative Manager for the C-Suite (EAM) and assist with preparation for Board of Directors meetings.
- Manage the GC's calendar and schedule meetings.
- Assist with corporate and subsidiary governance, draft subsidiary Board and Shareholder resolutions under GC supervision, and maintain electronic minutes books for subsidiaries. Periodically update the Survey of Organizational Matters containing corporate details.
- Support GC and EAM with SEC filings, including D&O Questionnaires for Proxy Statement and 10-K, and help with representation letters for quarterly filings.
- Assist GC and EAM in preparing for meetings of the Board of Directors and its committees, make travel and dinner arrangements for directors, prepare expense reports, post materials to Diligent, and manage processes for quarterly fee payments and annual equity grants to directors.
- Coordinate signatures for contracts.
- Assist GC and EAM with preparing PowerPoint presentations.
- Handle incoming mail, email, and voicemails left on switchboard.
- Process bills from law firms and other legal vendors and assist with legal budgeting.
- Maintain files and records as required.
- Provide backup support to EAM and C-Suite.
- Order supplies as necessary, including for copiers and kitchen in C-Suite.
Education and Experience Information:
- Minimum 3 years of previous work experience as an Executive Assistant is required.
- Preferred 5+ years of previous work experience as an Executive Assistant and/or Office Manager.
- Previous experience working at a legal firm or supporting legal professionals is a strong plus.
- Strong organizational and time management skills.
- Required computer skills include Outlook, Outlook Calendar, Excel (basic), PowerPoint, Teams, WebEx (audio/video conference), and various internal systems for expense reports, file share, etc.
- Strong communication and interpersonal skills.
- Detail-oriented and able to work well independently, accepting new tasks with little to no warning.
- Works well under pressure.
Salary Information:
- This position pays $70,000 – 90,000 annually, depending on experience.
Working Conditions:
- Office environment, with a requirement to be in the office at least 4 days per week.
