Cooley, a leading law firm, is seeking a Business Intake & Conflicts Specialist (Laterals) to join their team. This position plays a crucial role in ensuring the firm's compliance with ethical obligations, risk management policies, and onboarding new business in a timely manner. The Specialist will work closely with various departments and teams within the firm to assist with research, policy and procedure drafting, and lateral candidate submission coordination.

Job Title:

Business Intake & Conflicts Specialist (Laterals)

Salary Information:

The expected hourly pay range for this position is - , with the final offer amount dependent on geographic location, applicable experience, and skillset of the candidate.

Experience:

- 3+ years of direct applicable experience, such as in a previous BIC department, legal secretary, paralegal, or executive assistant role
- Proficiency in Microsoft Office suite, iManage, and other firm applications
- Strong computer skills
- Bachelor's degree and/or paralegal certificate preferred
- Experience working in a law firm or other professional services environment is a plus

Responsibilities:

- Review incoming conflict check submissions for laterals and create folders
- Update lateral spreadsheets and communicate with recruiting/HR and attorneys
- Monitor the BIC inbox and respond to inquiries regarding new business requests
- Process and quality control assigned intake review queues
- Conduct research projects related to conflicts of interest, operations, and project issues
- Provide training to new BIC hires and lead system and information clean-up projects
- Understand and adhere to ethical rules and regulations in all states and countries where the firm conducts business
- Other duties as assigned or required

monitor the bic inbox and respond to secretary, practice team assistant and attorney inquiries regarding the status and state of their requests

run conflict reports, as needed

operations:

process and quality control assigned intake review queue’s ensuring accurate and complete information for upload
assist with the review and filing of waiver and engagement letters
complete final party linking, as assigned

other:

provide training to all bic new hires on various systems and tasks as necessary
lead and manage bic system and information clean-up projects, providing direction and guidance to temporary resources to carry out and complete respective projects
understand the american bar association (aba) model rules of professional conduct as adopted in each state in which the firm maintains an office, and jurisdictional differences in all states, countries and practice areas in which the firm conducts business
conduct research projects as assigned relating to conflicts of interest, operations and project issues
conduct research projects on corporate affiliations and corporate relatedness
assist with ethical screen database clean up
