Summary:

The Law Firm is seeking an experienced Legal Practice Assistant to join their Office Administration Department. This is a full-time position that will primarily support the California and West coast offices. The Floating PA will provide secretarial and administrative assistance to attorneys, perform clerical tasks, and work collaboratively in a fast-paced, team-oriented environment. This position may also require specialized duties for new office openings and firm-wide projects. The successful candidate must reside in a state within the Pacific or Mountain time zone and be able to travel on short notice.

Key Responsibilities:

- Provide secretarial support to offices that are short-staffed, including remote work when necessary.
- Communicate with Office Administrators and Practice Assistants to facilitate smooth transitions.
- Proactively seek opportunities to assist offices.
- Submit information for conflict checks and initiate matter opening process.
- Train new staff on firm systems and procedures.
- Maintain master spreadsheet of new matter openings for incoming attorneys.
- Communicate with incoming attorneys and other departments regarding file transfers and practice-related information.
- Create and organize client files.
- Assist with administrative tasks for new office openings and firm-wide projects.
- Travel as needed, sometimes with short notice.
- Adjust work schedule to meet the needs of the assignment.

Requirements:

- 5+ years of experience as a litigation practice assistant or legal secretary.
- In-depth knowledge of federal and local rules.
- Experience with California processes and filings.
- Typing speed of at least 70 words per minute.
- Strong computer proficiency in MS Office, document management, e-filing, and database software.
- Excellent written and verbal communication skills.
- Superior organizational skills, including filing, calendaring, and proofreading.

Salary Information:

- Colorado: Expected range between $48,000 and $87,000.
- New York City: Expected range between $72,900 and $95,100.
- California: Expected range between $50,700 and $100,000.
- Washington: Expected range between $49,000 and $87,000.
- Actual pay will be adjusted based on experience, geographic location, and other job-related factors.
