Transcribing dictation from attorneys and other timekeepers.
Preparing and processing new client matter forms.
Managing physical and electronic documents and files through a document management system in compliance with current policies.
Scanning documents into the document management system as directed by the team.
Entering time entries for attorneys and other timekeepers.
Working with document management system, and . Patent and Trademark Office records.
Assisting legal secretaries in the preparation and distribution of client billings.
Managing calendars, organizing and scheduling external and internal meetings, teleconferences, networking events, etc.
Understanding the sense of urgency and maintaining confidentiality of sensitive materials being handled.
Adhering to assigned schedule.
Demonstrating and delivering a very high level of customer service to clients.
On-site daily attendance for secured computer access and client confidentiality.
Performing other duties as assigned.


To be successful in this role, you must have:

A high school diploma or equivalent on the job experience.
Minimum of 1-2 years of experience in a professional services organization providing clerical support.
Strong production skills with the ability to produce accurate and timely work product when transcribing tapes, formatting documents, inputting data, editing, copying, scanning and transmitting text, data and graphics.
Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint), Internet research skills, document management systems, attorney time entry software
Excellent analytical, written and verbal communications skills.
Ability to work both independently and collaboratively with colleagues.
Excellent customer-service skills.
