This position performs a variety of routine legal administrative duties in support of the organization's legal department, provides clerical duties within the assigned work unit, and provides secretarial support to the City Attorney's office staff. Essential Functions The Legal Administrative Assistant I is responsible for the following duties: Provide exemplary customer service to all individuals by demonstrating a willingness to be attentive, understanding, responsive, fair, courteous and respectful, and to actively participate in maintaining a positive customer service environment. Assist in preparing and processing correspondence, legal papers and documents requiring knowledge of legal format, terminology and procedures; prepare legal stipulations, orders, answers to complaints, notices, declarations, resolutions, ordinances, legal opinions, contracts, briefs, leases and agreements; prepare and serve subpoenas. Act as receptionist providing information and assistance to the public; screen telephone calls and requests for information; route calls to appropriate staff member, department or agency. Provide secretarial support to the City Attorney's office staff; maintain appointment calendars, schedule meetings and prepare travel arrangements. Maintain litigation calendars; record follow up trial dates, action dates and deposition of cases. Participate in researching, compiling and analyzing data for special projects and various reports. Index and file legal documents, correspondence and reports; maintain legal binders and manuals. Compile and assemble various legal materials from files; assist in preparing and monitoring assignments for the department. May participate in courier activities for the department. Perform related duties and responsibilities as required. Qualifications To be successful in the role of Legal Administrative Assistant I, an individual must possess the following knowledge, skills, and abilities: Knowledge of English usage, spelling, grammar and punctuation. Basic business letter writing and basic report preparation. Basic principles and procedures of record keeping and reporting. Modern office procedures, methods and computer equipment. Ability to learn legal terminology and the forms and documents used in legal clerical work. Learn legal procedures and practices involved in composing, processing and filing a variety of legal documents. Learn standard legal references and their contents. Perform responsible secretarial and clerical work. Prepare routine legal documents, correspondence and memoranda. Operate and use modern office equipment including a computer. Type at a speed necessary for successful job performance. Communicate effectively, both orally and in writing. Establish and maintain cooperative working relationships with those contacted in the course of work. Maintain physical condition appropriate to the performance of assigned duties and responsibilities. Experience and Training Guidelines Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Experience: Two years of responsible secretarial experience. Some legal secretarial experience is desirable. Training: Equivalent to completion of the twelfth grade supplemented by specialized legal secretarial course work.
