Proposal Specialist Duties: Maintain the Firm’s membership in Requests for Proposals/Qualifications (RFP/RFQ) notification services, and regularly evaluate the effectiveness of existing and new bid notification services. Frequently check for RFPs/RFQs from these services and other sources, such as trade association websites. Monitor the requirements for registering to receive bids from individual current/potential client websites; Receive and review RFPs/RFQs to determine applicability to Law firm’s areas of legal expertise, consulting with the Director of Marketing and/or Practice Group Leaders as necessary; Conduct internal and external research designed to: (1) help Practice Group Leaders make the initial “go/no go” decision to respond to an RFP/RFQ and (2) help develop strategically tailored content that places the Firm’s proposal in the most competitively favorable position. Internal research includes potential conflicts and the Firm’s current/past working relationship with the client. External research includes news updates about the client and/or matter that is the subject of the RFP/RFQ, as well as general information that the client makes publicly available regarding its legal department, legal services budget and use of outside counsel; Develop, communicate and track the status of project plans for preparing and completing proposals, including clear next steps and responsible parties. Prepare and distribute monthly status report of all proposals; Participate in conference calls and/or in-person meetings with attorneys to clarify RFP/RFQ requirements, assess evaluation criteria, establish proposal teams, develop strategic content, determine value proposition, and organize completion timelines; Complete proposals from start to finish. Prepare the first draft, handle the editing and formatting process, prepare all final documents, conduct final proofreading, obtain required approvals, and submit to current/potential client; Maintain and update content in the Firm’s proposal information database, including summary attorney biographies, practice group descriptions, client lists, and narratives of representative matters. Advise and collaborate with Marketing Department colleagues on updating other marketing materials and website content with new information obtained while preparing proposals; Constantly assess the Firm’s proposal management process and production templates to develop new streamlined approaches, implement best practices, and enhance effectiveness and efficiency; Assist Marketing Department colleagues in responding to attorneys’ requests for information that will be used in formal presentations at client interviews as well as informal client meetings; Develop thorough understanding of the Firm’s practice areas, client base, rankings and recognitions, and competitive position in the market place. Periodically attend Practice Group meetings to gather and update knowledge; Maintain database of proposals and associated documents submitted in response to all RFPs/RFQs, including records of RFRs/RFQs for which a “no go” decision was made; Develop and maintain strong, collaborative and direct working relationships with attorneys and administrative personnel throughout the firm. Develop reputation among attorneys involved in proposal preparation as a trusted advisor who provides helpful, responsive and high-value-added service; Produce the highest quality error-free work product as measured by organization, responsiveness, accuracy, completeness, persuasiveness, and attention to detail and in terms of grammar and punctuation; Maintain appropriate level of confidentiality at all times; Travel to all Meyers Naves offices on an as-needed basis; Work extended hours as needed; Work cordially, cooperatively, and productively with all Firm employees; Attend work on-site on a regular and reliable schedule; Manage multiple problems and projects at once; Remain calm and focused during stressful and emergency situations while producing accurate work product; and Other functions as assigned Management retains the right to add to or change the functions of this position at any time.

Qualification and Experience

Qualifications: Bachelor’s degree or equivalent is required. APMP certification or related professional development coursework a plus. Majors in Marketing, Communications or related fields a plus; 3 years of law firm experience focused on developing content for proposals and completing proposals from start to finish is required. Public entity client base experience a plus; Strong experience with Microsoft Word is required (editing and document formatting tools, template design and construction). Basic knowledge of Microsoft Excel and Microsoft PowerPoint also required. Familiarity with Adobe Illustrator, Photoshop, and Qvidian proposal automation software are pluses; Must have advanced writing, editing and proofreading skills, especially developing creative and original content that tells a persuasive story and conveys complex legal information in reader-friendly language; Must have excellent verbal communication skills, including effective interpersonal/active listening skills; Excellent organizational and time management skills; Proven ability to prioritize, multitask, manage and complete simultaneous projects with minimal supervision in a fast-paced environment; Demonstrate excellence in analytical abilities and research competencies; Self-starter with enthusiastic initiative, self-motivation, and the greatest attention to detail, deadlines and accuracy; Ability and judgment to maintain confidentiality at all times; Pragmatic, diplomatic and resourceful problem-solver; Ability to adapt quickly to different and changing situations, and the flexibility and creativity to respond productively to urgent requests from individual attorneys; Strong ability to present, discuss and finalize ideas, plans and action items; Strategic thinker, planner and implementation leader; and Dependable, collaborative and cooperative team player who also works well independently.
