Job Title: Executive Coordinator

Job Responsibilities:
- Oversee select calendars and coordinate meetings, teleconferences, travel, and accommodations.
- Triage and redirect incoming requests, prioritizing time, and ensuring focus on sensitive items.
- Attend key meetings as needed and provide summaries, action items, and takeaways.
- Prepare, process, and follow through with invoices, expense reports, and related financial documentation.
- Maintain strategic calendar and operational documents, including guidelines and checklists.
- Assemble reports and track progress against strategic planning matrices, ensuring effective updates and follow-through.
- Support and oversee special projects and requests, liaising with personnel responsible for pricing, financial terms, billing, timekeeping, new business intake, conflict clearances, and marketing.
- Draft internal and external communications.
- Organize and manage resource repositories, including document resources and electronic templates.
- Prepare legal operational documents and compile other deliverables.
- Build presentations, briefings, and prep materials with clear, compelling content.
- Perform other duties, tasks, or projects as assigned.

Education and Experience Information:
- Bachelor’s degree or higher, preferably in a relevant field.
- 3 to 5 years of experience in professional executive administrative roles, supporting executives (law firm experience strongly preferred but not required).
- Legal Operations experience is a plus.

Skills and Abilities:
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Communicate effectively and courteously, both verbally and in writing, with clients, attorneys, business professionals, and third parties.
- Build and foster positive internal and external relationships through exceptional client service and interpersonal skills.
- Collaborate and contribute positively within a team environment.
- Produce high-quality, accurate, complete, and timely work product.
- Exhibit exceptional follow-up and follow-through.
- Serve as a self-starter who is organized and detail-oriented.
- Maintain composure and exercise sound judgment to organize, prioritize, and execute multiple tasks when necessary while facing competing demands.
- Demonstrate initiative and judgment when handling matters with limited guidance.
- Show willingness to learn new tasks and adapt readily to change.

Salary Information:
The salary range for New Jersey applicants is $65,000 - $85,000.
