Legal Receptionist/Admin Assistant
The candidate will be observing business etiquette and maintain a professional appearance. Answering, screening and forwarding calls in a professional manner while maintaining first time resolution requirements. Warmly welcoming clients/visitors upon arrival and directing to appropriate person within the office. Preparing meeting rooms and providing refreshments to clients/visitors. Schedule and confirm appointments to minimize no shows and assist with rescheduling if needed in an effort to maintain an accurate calendar for our team. Receive, sort and distribute mail, faxes and deliveries to indented team members. Processing client payments with great detail and accurately adding information into the case management platform as well as updating the accounting team. Replenishing office supplies daily and responsible for supply orders for the firm. Maintain office security by following safety procedures and controlling access via the reception desk. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing. Other tasks and duties as assigned from time to time. Must Speak Spanish and English. High School or equivalent and related experience and/or training required. Top notch client-centered approach towards diagnosing and proposing solutions to day to day workflow scenarios required. Excellent written, verbal and interpersonal communication skills required. Prior experience as a legal receptionist will be advantageous. Proven work experience in a related field required. Proficiency in Microsoft Office Suite required. Hands-on experience with office equipment (. fax machines and printers) required.
