Job Title: Legal Administrative Assistant (Litigation)

Job Responsibilities:

The Legal Administrative Assistant (LAA) is integral to the attorney/client interface, tasked with producing a variety of work products. Key responsibilities include:
- Typing and modifying legal documents accurately within requested timeframes, prioritizing work among assignments, and meeting specific deadlines.
- Coordinating lengthy and complex document preparation with Work Product Support Services as needed.
- Preparing documents for e-filing and ensuring all attachments, exhibits, and enclosures are included.
- Managing incoming and outgoing mail, arranging for specialized mail or messenger services as required.
- Maintaining paper and electronic files in compliance with current policies, working with Information Governance to create and maintain client files and indexes.
- Professionally managing incoming calls, including client calls, and assisting in coordinating timekeeper calendars, expense reports, travel, and meeting arrangements.
- Coordinating specific client dates with the Calendar/Docket Department.
- Preparing and processing new matter forms, receiving and screening phone calls, and directing clients and visitors.
- Scheduling meetings, arranging conference rooms and meals, and maintaining and updating contact names and addresses in the contact database.
- Proactively anticipating the business needs of the assigned attorneys, planning ahead, and meeting deadlines.

Additionally, the LAA plays a role in Client Billing Coordination, which includes:
- Preparing daily time entries for assigned attorneys and submitting them in a timely manner to Accounting.
- Preparing expense reimbursement/disbursement requests and coordinating client billing matters with Accounting billing staff, attorneys, and clients.
- Assisting attorneys with tracking and monitoring alternative fee arrangements and matter budgets.

The LAA also engages in General and Administrative duties, demonstrating effective teamwork, providing assistance to other LAAs, and working cooperatively with other departments and individuals in the law firm.

Education and Experience Information:

Required Education & Experience:
- High School diploma or equivalent.
- 5+ years of litigation LAA experience or equivalent.
- Strong computer skills required with Microsoft Word and Outlook, as well as with file document management tools such as iManage.

Preferred Education & Experience:
- College or business school.
- Law firm experience preferred.

Salary Information:

The salary range for this role is $80,000 – $110,000. This range is based on various factors, including experience, skills, qualifications, and location. The range is an initial approximation and may vary based on the individual’s unique qualifications and experience.

The role requires a team player who motivates and educates other team members.

This position reports to the Office Manager/LAA Supervisor and works under the direction of the attorneys and paralegals to whom the LAA Team is assigned. It does not have supervisory responsibilities and does not require travel. The role operates in a professional office environment and involves using standard office equipment.
