Job Title: Litigation Assistant
Job Responsibilities:
As a Litigation Assistant at the law firm, you will play a crucial role in managing the day-to-day operations of the firm, providing essential support to the legal team, and carrying out various administrative services. The responsibilities include:
- Performing administrative duties such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics.
- Maintaining pleadings and discovery indexes.
- Organizing exhibits, documents, evidence, briefs, and appendices.
- Implementing and improving administrative processes to enhance workflow efficiency.
- Collecting, examining, and organizing evidence and other legal documents for attorney review and case preparation.
- Drafting and proofreading correspondence and legal documents, including pleadings and contracts.
- Researching regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice.
- Managing client billing by preparing, finalizing, and sending out bills, and resolving billing issues in cooperation with the billing attorney.
- Communicating with clients and witnesses to schedule meetings, interviews, and depositions.
- Managing, organizing, and maintaining documents in paper or electronic filing systems.
- Performing other related duties as assigned to meet the business needs.
Education and Experience Information:
- A high school diploma or general education degree (GED) is required.
- An associate degree in paralegal studies, a paralegal certificate, or a bachelor's degree is preferred.
- Bilingual proficiency in English and Spanish is preferred.
- At least 2 years of experience as an administrative assistant, preferably in a law firm or corporate legal department, legal assistant, legal secretary, or paralegal.
- Experience in personal injury, workers' compensation, premises, or other injury-related practice areas is preferred.
Candidates must possess the ability to multi-task, prioritize, handle a fast-paced environment, and manage their workload with a positive attitude and minimal supervision. Excellent written and communication skills are essential, along with proficiency in scheduling depositions, mediations, and hearings. Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules, and procedures is required. Candidates should be highly organized, capable of juggling multiple deadlines in a fast-paced environment, and have strong writing and communication skills with attention to detail. Extensive computer and database expertise, including proficiency in Microsoft Word, Excel, and Outlook, is required, along with the ability to type no less than 35 words per minute.
