Job Title: Legal Assistant - Finance & Restructuring

Job Responsibilities:
The Legal Assistant in the Finance and Restructuring department at a law firm in Minneapolis is responsible for providing comprehensive legal administrative support to multiple timekeepers in a high-paced, client-focused setting. Key duties include:

- Acting as a liaison for clients by providing legal administrative support to attorneys.
- Initiating client/matter openings, which involves conducting conflicts checks and preparing engagement letters.
- Managing attorneys' calendars by proactively reviewing them to maintain an overview of deadlines, anticipating next steps, and implementing follow-up procedures to ensure deadlines are met.
- Creating, editing, revising, redlining, and proofreading documents to maintain accuracy and compliance.
- Entering attorneys’ time with meticulous attention to detail, ensuring accuracy by proofreading, using spellcheck, and applying appropriate task codes to comply with firm policies.
- Assisting with the billing process, which includes distributing monthly proformas, reviewing and editing them, and sending invoices and related correspondence to clients.
- Maintaining client files in both electronic and hard copy formats, with prompt and accurate filing of electronic documents in Outlook and the document management system.
- Processing and routing incoming mail and electronic communications as well as preparing outgoing mail for prompt delivery.
- Handling reimbursement requests, check requests, and vendor invoices.
- Coordinating attorney meetings and appointments, including scheduling conference rooms.
- Managing travel arrangements, including booking flights, hotels, and rental cars.
- Maintaining attorney Continuing Legal Education (CLE) records, including seminar registration and reporting.
- Assisting with monthly closing preparations, including editing, proofing, creating PDF hyperlinks, and preparing closing binders.
- Performing prompt and accurate filing of documents, creating closing books, and generating signature packets for closings.
- Delegating administrative tasks to Department Administrative Assistants.
- Providing a high level of customer service to attorneys and clients.
- Performing other duties as requested by the law firm.

Education and Experience Information:
Candidates should possess a high school diploma or . equivalent, with at least four years of related experience, preferably in a law firm. The role requires advanced knowledge of Microsoft Office and proficiency with Adobe Acrobat. Excellent oral and written communication skills, attention to detail and accuracy, and strong organizational abilities are essential. The candidate should have a customer/client service focus, the ability to coordinate multiple tasks, and the ability to work well under pressure to meet deadlines. Good judgment in resolving conflicts and working in challenging situations, the ability to maintain client and firm confidentiality, and a positive attitude toward independent and team work are crucial. Excellent analytical and problem-solving skills, along with a thorough understanding of legal terminology and procedures pertinent to the practice area, are also required.

Salary Information:
The pay range for the Legal Assistant position in Minnesota is to per hour. This range is a good faith estimate of likely compensation at the time of posting. Actual pay will depend on several factors, including the candidate’s experience, qualifications, skills, and location, and may fall outside the indicated range.
