Administrative Assistant - Legal Duties: Arranging calendars and coordinates schedules for meetings, interviews, travel, and department functions. Receiving and reviewing various reports, plans, and/or forms for the purpose of verifying accuracy, and ensures necessary copies of pertinent documents are made and distributed to appropriate entities. Processing various correspondence and forms that may be of a confidential or sensitive nature, e.g., personnel forms, invoices, work orders, purchase orders, requisitions, applications. Prepares and maintains files concerning legal inquiries, responses, various legal documents, memorandum and correspondence. Receives and screens calls and emails; locates copies of correspondence, documents and provides basic and specific information to inquiries. Functioning as liaison between supervisors, professional staff, department head, other departments, and outside agencies, gathering and relaying information as needed. Maintains litigation files, including filing of pleadings; maintains law library. Maintains logs for incoming correspondence and agenda items. Handles a variety of responsible and time-sensitive administrative and technical issues and assignments. Recognizing, respecting and responding to the unique, culturally-defined needs of others served.
Qualification and Experience
Requirements: Associates Degree with 3 years' progressively knowledgeable and responsible administrative experience in a legal office or related environment; such experience should demonstrate, thorough knowledge of standard office technologies; legal office practices, procedures, techniques, terminology, transcription and filing systems; and business application to spelling, diction and grammar principles; Certification or Diploma as a Paralegal or related field preferred; or an equivalent combination of education, training and/or experience. Strong computer skills to include Microsoft Office 365 Suite and strong data entry skills. Must be available to work a flexible schedule to include nights and weekends in order to meet business needs. Able and willing to work with a diverse client population.
