Executive Assistant The candidate will provide administrative support to the Executive Team; managing the office and providing support to the company operations, human resources and legal departments. Primary person to answer phones, route calls, take messages and give directions via phone. Greet and announce visitors, (customers, tenants, vendors, contractors, home office employees, owners and city officials) to management. Welcome visitors and place attention to their needs: water, restrooms, coffee, etc. Primary person to manage transactions at front desk as in making copies and sending faxes. Accept and sign for packages/documents and courier deliveries (including office and kitchen supplies). Update and maintain phone contacts. Both in current Rolodex form and in e-mailing new contacts to property manager, operations manager and marketing manager via outlook. Responsible for any special projects assigned as may be needed/assigned. Assist Directors of Operations with reporting and recruiting needs. Prepare and distribute Monthly Reports. Prepare memos and advising of changes, new stores, management updates, etc. Updating tenant and vendor certificates of insurance. General scanning and filing (hard copies and electronic). Keep Directors' calendars, including travel plans. Responsible for all outgoing regular and certified mail. Responsible for logging in any checks received in the office. Prepare conference call minutes, staff meeting minutes, etc. Accounts Payable assistance including copying and filing copies of checks and sending originals to vendors. Provide support to General Counsel primarily in overall organization and legal filings. Manage all administrative duties within the legal department including, scheduling and/or attending internal and external meetings; prepare, scan, and/or copy correspondence and other documents and manage the department's telephone calls. Responsible for researching technical data, both legal and non-legal in nature. Maintain and manage all legal files and corporate logs within the legal department. Includes creating files and logs in the established format, filing all necessary documents, and locating any and all documents requested by the General Counsel. Responsible for responding to all discovery request received in the department. Includes preparing all exhibits and drafting applicable correspondence. Assists in preparation and management of all franchise legal documents and correspondence. Should preferably have Bachelor's degree. Should have 1+ years of experience. Proficient working knowledge of Microsoft Word, Excel and Outlook is needed.
