Executive Assistant The candidate will be confidential, exempt employee who uses independent judgment in providing high-level administrative and legal support to the Chief Operating Officer and Associate Vice President of Legal Affairs by preparing Board of Regents materials, developing and maintaining records management systems, conducting research, preparing and analyzing corporate/financial/legal documents, handling correspondence and information requests, and performing clerical functions. Competently drafts and edits Board of Regents materials. Reads, analyzes, and drafts, as directed, financial and legal documents, determining their significance and directing distribution. Establishes system and acts as point person for inbound and outbound legal contracts/requests. Competently and efficiently drafts and types reports, memos, and correspondence. Competently records, types, edits, and distributes meeting minutes as assigned. Conducts corporate, financial, and/or legal research in support of leadership initiatives. Takes and prepares minutes for meetings of BOR, BOR Committees, or other groups as requested. Thoroughly develops and maintains confidential records management databases and hard copy systems for comprehensive corporate, financial, and legal records and contracts, enabling authorized users to easily locate up to date records at all times. Develops, maintains, and updates policy manuals. Assists in ongoing implementation, use, and updating of BoardEffect (software used to manage communications and data files used by the Board of Regents and their Committees). Answers phones, directs calls to appropriate parties, and takes detailed messages. Makes travel arrangements for supervisors and processes reimbursements. Processes legal and other invoices in a timely manner.
Qualification and Experience
The candidate should have Bachelor's Degree plus 5 years' experience, or equivalent legal and/or executive experience. A Paralegal experience preferred. Should have communication proficiency, strong collaboration skills, personal effectiveness/credibility, and proficiency in various administration software packages, including Microsoft Word, Excel, PowerPoint, Acrobat Pro, and Visio (Preferred), as well as aptitude in independently developing skills in other office software applications. The candidate must also have strong time management, stress management, and organizational skills.
