Legal Administrative Assistant/Paralegal The candidate will administer outside counsel billings; manage subpoena process; monitor and assist with broker license renewals; prepare correspondence, draft and format pleadings; file legal documents; draft contracts and agreements; maintain research records and indexes; manage all aspects of litigation holds (drafting, distributing, tracking, and ultimately closing the document holds); develop effective systems for maintaining legal files; and design and create legal activity reports. Perform basic legal research, including research of statutes, broker licensing, commercial property management, case law, etc. by utilizing a variety of automated research tools as well as public information databases and other automated resources to research case- or program-specific legal matters. Assist in preparing for court proceedings by compiling, organizing, and indexing various evidentiary exhibits. Maintain department calendars and schedules for multiple attorneys, filing deadlines, and due dates; monitor attorneysâ€™ email for urgent issues while maintaining utmost confidentiality; and interface with other senior executive personnel. Draft cover letters and mail out all necessary letters and documents. Undertake special assignments, including research, review, and analysis of documentation and other issues, as requested. Provide additional support to other departments as needed. Create and edit documents using MS Office, Excel, SmartSheet, PowerPoint, Workshare Compare and other presentation and software applications; prepare, review, and organize documents for response to Subpoenas and discovery; and create and maintain team databases. Assist in administering department operations and organization, including working with IT to troubleshoot problems with department hardware and software, assist in providing backup mail and telephone coverage to department. Create file system for the departmentâ€™s working files and file all the departmentâ€™s documents.
Qualification and Experience
The candidate must have Paralegal Certificate from an ABA approved program and/or college degree. Knowledge of and/or experience in transactional commercial real estate is preferred. Previous litigation experience is a plus. Previous experience as a paralegal or legal secretary is preferred. Current students in law school or recent law school graduates will be considered. Familiarity with legal research is needed. Must be proficient in Microsoft Office programs including Excel, Word and Outlook. Experience with Workshare Compare, Sales Force and Property Base is helpful.
