Senior Executive AssistantParalegal Reporting to the General Counsel, provides legal and administrative support for all legal functions, and is part of the Legal Department. This individual will have regular contact with key management personnel and others (e.g. President’s Council, Board of Directors, and Outside counsel and consultants). Assists the General Counsel on various transactional, corporate governance, litigation and other matters as needed; Maintains confidential information, attorney-client privileged information/documents, and uses judgment as to the collection, organization, and protection of Company information; Supports the Company’s Board of Directors and senior management on various activities and projects; Maintains and updates corporate governance records and filings of subsidiaries; Creates and manages project files, filing, activity calendars, and corporate records; Organizes, codes and tracks agreements and invoices with outside law firm and consultants; As needed, formats and prepares legal correspondence and other legal documents; Assists with litigation filing and hold process Assists with other litigation matters and organizing documents for litigation processes; Assists in coordinating outside legal services with In-House Legal, other Support Services, and operations, both at UIC parent level and also with the subsidiaries. Coordinates with appropriate managers and employees throughout and its family of companies to assist them to efficiently and effectively meet their legal needs; Uses and administers multiple computer systems and scheduling processes (e.g. Skype conferencing; Microsoft Outlook-Email, Scheduling, Word, Excel, PowerPoint; Serengeti; Corporate Service Company (CSC); EthicsPoint; and other legal and governmental research databases); Performs other duties as assigned.
Qualification and Experience
Requirements: Paralegal certification and/or a BA or BS degree. 5 years’ experience in a legal or other technical professional setting preferred; Excellent administrative and organizational skills; Excellent oral and written communication skills; Proven dependability, and ability to manage a large workload with competing priorities; Excellent computer skills, including superior proficiency in Microsoft Office Suite, Outlook, Adobe, and other software programs, and familiarity with the Alaska Corporations systems; Demonstrated ability to prioritize and handle a variety of tasks, and meet established deadlines; Ability to professionally coordinate within and outside the UIC family of companies; Ability to maintain confidentiality in working with sensitive matters; Required experience with Microsoft Office suite and Adobe; Preferred experience with CSC, Serengeti, and EthicsPoint. Excellent organizational skills, able to multi-task, work under pressure, meet deadlines, ensure highest confidentiality and diplomacy in all situations; Must be proactive and should possess independent sound judgment and discretion; Proficient in Adobe, all MS Office Programs, including Excel, Word, Power Point, and Outlook; Communicate effectively orally and in writing; Must have demonstrated ability to work effectively and productively with different employees, representatives of other organizations and the public; Ability to operate a computer, related software, and a telephone, as well as a photocopier, printer, calculator, postage machine, scanner and binding machine; Must have demonstrated administrative support services skills, including meeting organization, travel, invoicing, and billing issues; Maintain, file and organize records and prepare reports – both electronic and hardcopy; Periodic travel, both in state and out of state and some evening/weekend/holiday work may also be required; Dependable and punctual; Strong listening and analytical abilities.
