Associate Director, Grants & Contracts
The candidate reporting to the Director, Grants & Contracts (Director), a member of the ORA Grants & Contracts leadership team. Together with a peer ADGC, will supervise a team of Senior Grants & Contracts Officers (SGCOs) in their award management and negotiation responsibilities. Will act as a negotiation and award management subject matter expert for HMS and be the first escalation point within ORA for complex award and agreement-related questions. Will monitor workload distribution across the SGCOs and ensure an even workload among the team members. Will be responsible for creating, implementing, and maintaining a wide variety of award- and agreement-related ORA business processes, including agreement templates. Represent on University-wide committees and collaborate with research administration colleagues from other schools and offices as well as from other institutions to explore opportunities for streamlining and process improvement. This individual will take a leadership position in implementation and use of negotiation-related systems, such as the Huron Agreements module and Research Administration Dashboard. Collaborates with the Office for Research Operations, as well as other offices as appropriate, to ensure the award administration and agreement needs of the school’s strategic priorities are met. Builds and maintains a close working relationship, both personally and for the team and ORA, with a wide variety of offices at the University. As an authorized University signatory and first escalation point, will be responsible for making the judgment call whether agreement terms and conditions are acceptable to the University and HMS or if the risk level warrants escalation to the Director or higher-level school leadership for further review. Will embrace a continuous improvement mindset and work with the Director on strategic planning for the Grants & Contracts Team and development of new procedures/guidelines to address identified ORA and HMS needs. Will collaborate with the Director in offering training on agreement and award administration-related topics. Other duties as assigned. Responsible for effective staff management for a group or team of employees, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment. May act as signatory for the University and/or oversee the signatory process. Serve as a key resource for post-award policies, procedures regulations, and cost reimbursements. Develop and monitor effective pre and post-award processes and systems. Manage such pre-award areas as: proposal submission, award validation, approval and set-up. Manage such post-award areas as: award approval and set-up, financial analysis and reporting. Collaborate with university-wide financial leadership to continuously improve process, polices, and procedures. Manage ongoing relationships and lead negotiation of terms and conditions of sponsored awards; approve terms for acceptance by the institution. Lead departmental financial analysis, reporting, and long range planning. Act as representative at the School/University level. Ensure financial compliance with University policies and procedures and applicable federal and sponsor rules and regulations. should have Bachelor’s degree or equivalent work experience required. 8 years’ relevant work experience is required.. must have advanced knowledge of sponsored research regulations. Supervisory experience are needed.
