JOB SUMMARY:

Reporting to Managing Partner, the Executive Assistant provides executive support and serves as the primary point of contact for internal and external inquiries. The ideal individual will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain realistic balance among multiple priorities. Must have the ability to work under pressure as well as manage a wide variety of activities and confidential matters with discretion.

 

RESPONSIBILITIES

  • Undertake the tasks of receiving calls, taking messages and routing correspondence
  • Maintain calendar, arrange meetings and appointments, and provide reminders
  • Arrange travel
  • Handle all administrative tasks required by Managing Partner
  • Take meeting minutes, including assigned takeaway actions
  • Produce reports, presentations and briefs as requested
  • Develop and carry out an efficient documentation and filing system
  • Manage multiple responsibilities at once, and know when to reprioritize
  • Use professional communication skills when working with clients
  • Coordinate internal projects with multiple departments
  • May communicate directly, and on behalf of Managing Partner, with other senior leaders.
  • Research, prioritize, and follows up on incoming issues or concerns and determine course of action, referral, or response.

 

KNOWLEDGE, SKILLS, & EDUCATION

  • High School Diploma or equivalent, Paralegal certificate or equivalent work experience
  • Must possess expert level written and verbal communication skills
  • 3+ years’ Executive Administrative experience preferred; preferably in the legal field
  • Intermediate to expert proficiency with Microsoft Office products
  • Motivated self starter, with the ability to multi-task, as well as to manage and prioritize multiple projects
  • Overall good attitude and willingness to adapt to change
  • Must possess good organizational skills
  • Balances team and individual responsibilities while contributing to building a positive team spirit
  • Examines ways to improve and promote quality.
  • Possess an analytical thought process and uses critical thinking skills
  • Demonstrated proactive approaches to problem solving with string decision making capability.
  • Strong emotional maturity and intelligence.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
