Legal Assistant The candidate will perform a variety of complex legal, secretarial and administrative duties of a highly responsible and confidential nature for attorneys and/or paralegals requiring considerable knowledge of legal procedures for the civil division of the City Attorney/City Prosecutor's Office. Under general supervision, performs a variety of complex, confidential and sensitive transcription, typing and administrative support duties requiring considerable knowledge of legal functions for the civil division of the City Attorney/City Prosecutor's Office; and performs related duties as assigned. Legal Assistant is a skilled journey level class. Incumbents perform a variety of legal secretarial and clerical support duties requiring a detailed knowledge of legal procedures and terminology. Work requires strong computer and organizational skills and the ability to perform duties with direction from assigned attorneys. Based on experience, incumbents may independently perform technically difficult legal support functions, including drafting basic legal documents, conducting basic legal research and performing other similar duties. Incumbents may act as a mentor for other legal support staff. Prepares, records and/or transcribes complex and confidential reports, minutes, ordinances, resolutions, proclamations, legal pleadings, contracts, correspondence, memoranda, reports and other legal documents and materials; prepares and/or finalizes motions, discovery and responsive pleadings; composes letters from notes or brief instructions; proofreads and corrects documents and pleadings to ensure accuracy of records and entry of information; may perform simple legal research. Contacts for information and schedules meetings with Court personnel, City staff, attorneys, medical experts, expert witnesses and others; schedules and maintains calendars for assigned attorneys, including court appearances, depositions, appointments, assignment deadlines and vacations. Answers and screens general telephone calls for the office and for specific attorneys; greet visitors to the office and refer them as appropriate; takes messages and provides information or makes referrals for the public; schedules conference rooms; retrieves, responds to and processes mail, emails and faxes; maintains case and administrative files and records. Electronically files pleadings and other court forms through automated federal and state court systems; prepares copies for attorneys and judges; creates and maintains complex and confidential filing systems; opens and closes case files in case management system; prints, scans and/or archives documents, emails and records; maintains legal library; maintains files of newspaper articles relating to City business, interests and development; assists with a variety of office administrative tasks. Requests/subpoenas records, files and other data; tracks legal service to other attorneys as assigned. May assist in training administrative employees and interns.

Qualification and Experience

The candidate should have completed Graduation from a two-year college with an Associate's degree and 4 years of progressively responsible experience in a law office in an administrative or clerical role; or an equivalent combination of training and experience. Experience in a public agency is preferred. Should have knowledge of: Law office administrative practices and procedures. Terminology, forms, documents and court rules and requirements used in civil action and litigation practice and proceedings. Methods, practices, procedures and requirements for drafting a wide variety of motions, pleadings, statements and other legal documents. Basic techniques of legal research and investigation. Principles and practices of legal communication. Federal, state and municipal law governing the maintenance and disclosure of public records. Standard legal forms and documents and their uses and formatting requirements. Statutory deadlines for responding to and/or filing pleading documents. General understanding of the judicial process, departments and legal procedures and practices. Principles and practices of sound legal and business communication; correct English usage, including spelling, grammar and punctuation. Must have ability to: Make advanced use of word processing, standard business software and specialized legal soft-ware to produce complex legal documents. Type accurately at a speed necessary to meet the requirements of the position. Organize, set priorities and exercise sound independent judgment within areas of responsibility. Reach sound decisions in accordance with applicable law and court procedures, rules and policies. Organize, research and maintain legal and office files and calendars. Compose correspondence and prepare standard legal documents from brief instructions. Prepare clear, accurate and concise records and reports. Communicate effectively, both orally and in writing. Understand and follow written and oral instructions. Maintain sensitive and confidential information. Develop and maintain effective working relationships with the Legal Administrative Supervisor, supervising attorneys, officers of the court, litigants and their attorneys, complainants and others encountered in the course of work.
