Administrative Assistant - Real Estate Finance Practice Duties: General administrative duties including review of billing proformas, Maintain individual and pipeline calendars, Set up conference calls/dial in, Make travel arrangements (e.g., airlines, hotel, rental cars, as needed, restaurant reservations, communication of it to clients), Prepare and submit expense reports, Maintain professional memberships and dues, Track and handle conference registrations for all industry events, Manage all incoming and outgoing FedEx deliveries, Scan documents for filing in deal folders, Open and close matters, as needed, Prepare draft loan documents for Freddie Mac SBLs and Fannie Mae SLPs, Prepare signature pages, CD labels and survey coordination, as needed, Other duties as assigned.

Qualification and Experience

Requirements: 2 years’ experience in Real Estate practice a requirement. Knowledge of Real Estate transactions essential. Excellent organizational and communication skills with close attention to detail. Ability to utilize advanced features of Microsoft Office suite (Word, Excel, Outlook), database and presentation software and ability to navigate IRS and government websites. Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, and decision-making skills. High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy. Ability to gather and summarize data for reports, finds solutions to various administrative problems, and prioritizes work. Ability to use standard office equipment, including personal computer, copier, scanner, typewriter, facsimile, telephone, dictation machine, etc. Keyboarding skills of 60 wpm or higher required. Ability to travel locally to assist attorneys in attending to client needs on legal matters.
