Legal Assistant Candidate will: Greet all clients, professionals, prospective clients and other visitors to the law firm, making them feel welcome and at home. Answer and direct all incoming calls and distribute phone messages to other team members if needed. Schedule appointments for clients and prospects as directed. Take incoming seminar reservation calls, mail letters and make seminar reminder calls. Update and maintain the seminar tracking in law firm database. Assemble all planning documents at attorney’s direction. May occasionally place phone calls to clients, agencies and institutions to research information on behalf of the clients. Make appropriate database entries according to the progress of matters in the firm database. Prepare various correspondences to clients to welcome to firm, request more information, etc. Assemble portfolio binders, including printing and copying and any other tasks required to make delivery to the client. Additional duties as assigned by the firm’s attorneys. Estate Planning Seminar Duties Work some weekday evenings (1 evening/month) when the firm has estate planning seminars. Set up seminars including, room setup, and on-site signage. Check in seminar attendees, provide seminar materials, and monitor the seminar room during seminars. Assist seminar attendees in setting appointments for consultations following seminar attendance. Participate in staff meetings, prepare reports for attorneys as requested, assist attorneys with weekly and daily organizing and prioritizing work. Give exceptional, professional service to all law firm clients.
