ProfileLegal Secretary The candidate serves as a key adjunct for the Office of the General Counsel Valley Operating Unit clients, providing direct professional secretarial support to the VP Regional Counsel, Assistant General Counsel and Counsel Regional Operations - Valley Operating Unit, of the Office of the General Counsel ("OGC"). In this capacity, the Valley Operating Unit Legal Secretary contributes to the effective implementation of major strategic initiatives brought forward by company and given the authority and autonomy to develop and implement strategies intended to resolve issues and complete projects. Incumbent is expected to initiate projects that improve productivity for the Valley Operating Unit Team. The incumbent also performs a wide variety of office functions such as typing correspondence, including letters, memorandums, contracts and reports generated by the Valley Operating Unit Team. Assembles and distributes documents to ensure a smooth and efficient flow of work within the office. Performs other department support duties as assigned. Will have the authority to complete routine tasks within normal job assignments. The incumbent makes those day-to-day decisions required to perform principle accountabilities. These decisions may include, but are not limited to, calendaring changes, dissemination of information, format changes on documents, etc. The incumbent is limited to making decisions regarding principle accountabilities; all budgetary and work schedule issues are referred to Vice President, Regional Counsel. Maintains a close, positive working relationship with other secretarial positions within the organization as well as all members of the OGC. This position requires that the individual perform effectively, considerately and professionally when dealing with other contacts that may include board members, senior management team members, attorneys, paralegals, and other individuals representing affiliates, law firms and external clients. Many of these working relationships are associated with the exchange of documents, information, correspondence and calendaring meetings.
Qualification and Experience
A High School Diploma required. A legal secretary certification desired or equivalent years of experience is needed. Should have experience as a Legal Secretary or experience that has fostered the development of advanced secretarial skills within a healthcare organization or law office is required; the ability to perform intermediate level legal research is required; and advanced word processing skills and demonstration of proper formatting of contracts and other legal documents are required. This type of experience is typically acquired in 2 years of progressive experience and is desired. Should have excellent communication skills, both verbal and written, are required as well as excellente knowledge of the English language, including correct use of spelling, grammar and punctuation. Beginning level legal research skills and understanding of distinctions among legal documents are required. Basic legal terminology is required. Knowledge of healthcare law is preferred. Thorough knowledge and understanding of the organization, functions, and policies and procedures of Sutter Health are also preferred.
