Litigation Legal Assistant Duties: Assists attorneys and paralegals through the performance of complex secretarial and clerical duties requiring a knowledge of legal terminology and the legal process. Scheduling and Calendar Contacts clients for scheduling appointments to meet attorneys. Maintains individual attorney calendars. Schedules depositions and meetings, orders lunch, reserves conference room arranges set-ups as required. Coordinates all travel arrangements as needed Schedules hearings, in coordination with Judicial Assistant and Opposing Counsel, Mediators. Coordinates with witnesses, communicates with attorney offices and court reporters to clear dates. Documentation and Review Provides documentation production services (typing and transcription) as well as preparation of client correspondence. Proofreads all documents, checking for appropriate formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits and enclosures are intact. Interacts with clients as required, and as requested by Attorney. Enters attorney time, ensures time is correctly entered by deadline and makes corrections to unbilled time reports. Reviews files, ensures all required information is included in electronic data file, as well as paper file. Assists in reviewing attorney bills, looking up information in CMS/Bill Drill as requested by attorney. Electronically files documents with appropriate court; both state and federal venues, as well as administrative. Prepares files for hearings. Communication and Clerical Opens and screens incoming mail and prepares documents for mailing, including enclosures. Scans all incoming and outgoing mail, distributes, files, and saves electronically in FileSite (iManage) TBF for appropriate matters. Going into the assistant TBF folder for each Attorney and drag directly to the assigned matters TBF folder with appropriate notations. Responsible for timely payment of vendor invoices. Assist Attorneys with Oars on a monthly basis. Prepares and submits Attorney Expense Reports. Oversees File closing procedures and ensures all funds have been distributed and vendor invoices have been paid. Assists attorney with Florida Bar requirements i.e. CLEs, Board Certification Applications and Renewals; and Court Admissions. File Opening Obtains information from attorney regarding new client and/or new matters. Processes conflict checks through File Opening procedures. Drafts retainer agreements, joint representation letters, waivers, etc. as necessary or as requested by attorney.

Qualification and Experience

Requirements: 5+ years' experience as a Litigation Legal Secretary in a large law firm and a High School Diploma. Requires excellent clerical skills and knowledge of grammar, spelling, and punctuation. Shall be proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat; knowledge of Summation is helpful, but not essential. Heavy typing and transcription are required with a minimum typing speed of 60 WPM. Must have an understanding of the Florida Rules of Civil Procedure and the Federal Rules of Civil Procedure. E-File pleadings and other documents with the state or federal court systems. Superior computer skills, litigation experience, excellent client relations skills and the ability to multi-task in a fast paced environment. Must have attention to detail and previous and relevant experience.
