The candidate will bepreparing Deeds and other legal documents necessary to facilitate real estate transactions (POAs, Affidavits, etc.) for IN, MI, FL, IL and other licensed states, as supervised by the firm’s licensed attorneys. Managing document requests and resulting workflows, communicating with escrow staff to proactively ensure that the files contain the information required to prepare the documents, accurate documents are delivered to the appropriate attorney within specified time frames. Maintaining accompanying legal form document templates for each state and transaction type, organized and hosted on a shared platform, ensuring that updates to these forms are made to the base templates and facilitating edits as applicable throughout the organization, along with the necessary communication to notify staff of these updates. Coordinating with production software employees to ensure that mail merges and other document automation is functioning at its highest level and can be performed within our system utilizing preferred forms (work to test, make sure things that can be auto-populated are prioritized). Working within the firm’s title production system such that you can look up a mortgage amount or a vested owner or an exception to title. Exhibiting understanding of basic trust documents, corporate bylaws, secretary’s certificates, incumbency certificate, LLC operating agreements, partnership agreements, articles of formation and incorporation, confirming good standing through Secretary of State entity searches, etc. to determine organizational status and authority to transact. Managing client requests while understanding when to escalate items, using judgement to follow established protocols; working with management to identify and document workflows and protocols where not yet established. Assisting staff attorneys with internal corporate filings and state licensing, maintaining a list of annual reports and statutory deadlines, updating status spreadsheets on live projects, assisting in new state licensing and performing research as necessary. Facilitating communication amongst internal group “The Firm”, an elite alliance of Near North attorneys with extensive industry knowledge and experience. Assisting attorneys with miscellaneous projects as necessary, Bachelor’s degree required. 3-5 years of real estate related experience. Experience working with volume/in a fast-paced environment. Experience working with legal staff to have the ability to draft documents as it pertains to real estate (such as deeds, affidavits, escrow agreements, etc.). Ability to problem solve. Proficiency with business technology (e.g. MS Office, SoftPro, etc.). Ability to work and prioritize projects in a fast paced time sensitive environment, stellar organizational acumen with excellent internal and external customer service skills.
