Practice Group Coordinator The candidate will work closely with the Practice Group Leader on implementing initiatives and overseeing the day to day administrative operations of the real estate department. Reports to the Practice Group Leader and members of Senior Administrative Management. Provide executive-level assistance to the Practice Group Leader including: scheduling meetings, preparation of expense reports, calendar management, administration of practice group activities, billing and timekeeping functions, new business intake. Assists with workload management through ongoing communication with Practice Group Leader, legal assistants, paralegals, attorneys and administrative staff. Reviews and understands billing guidelines for the practice group. Assists with reviewing bills and ensuring narrative complies with established guidelines and protocols. Interfaces with billing team to effectively manage client invoices. Review and track temporary files and aging reports to accurately provide status updates as requested. Coordinates with practice leaders to handle logistics for group meetings, creates agenda and prepares and circulates meeting summaries. Success in this position requires dynamic relationships with Practice Group Leader and Senior Administrative Staff.
Qualification and Experience
Qualifications: Undergraduate degree required, paralegal certificate a plus. Analytical and problem solving skills. Excellent organizational skills, communication and interpersonal skills with the ability to manage relationships and interface at various levels (legal assistants, paralegals, attorneys and administrative staff). Prior supervisory experience a plus. Ability to manage multiple requests, assess priorities, and achieve solutions under tight deadlines. Demonstrated ability to work effectively both independently and with others in a cooperative, enthusiastic, and collaborative manner. Reliable, dependable and strong motivation to respond to requests quickly. Requires a thorough understanding of key administrative functional areas on which this group depends including but not limited to accounting, billing, new business intake, legal assistants, paralegals, facilities and IT support. A critical aspect of this role will be interacting and collaborating with these functions on a regular basis.
