Legal Department Operations Coordinator The candidate will be managing, storing, and putting into retention for compliance auditing, RK contracts with customers, vendors, suppliers, consultants, and providers. Will be maintaining the central contract database for use by multiple business units, including version control, updating, and document security. Oversees preparation, naming conventions, and receiving of contracts, including proposals and drafts, routes contracts both internally and externally, tracks status of contract through review and execution process. Support General Counsel and Associate General Counsel in negotiations of contracts; facilitates the participation of reviewers and approvers, both internally and externally. Responsible, along with General and Associate General Counsel, for ensuring that execution copies of contracts contain all required terms, conditions, and forms. Tracking project-specific insurance requirements in customer contracts, including claims contact information. Responds to written and telephone inquiries regarding contract terms, contract review and delivery status, and historical contract data. Coordinates contract executions by business unit leaders. Orders, tracks, and facilitates the execution and distribution of insurance certificates, payment bonds, and performance bonds. Maintaining internal filing and tracking of insurance certificates, and expiration deadlines. Monitors and calendars contractual deadlines, including option deadlines, expiring or auto-renewing contracts, and expiring statutory deadlines, so as to minimize penalties or forfeiture of opportunities due to inaction. Serves as the initial point-of-contact for internal stakeholders regarding insurance claims and litigation matters. Engages in fact finding and document gathering during the lifecycle of claims and potential claims. Acts as a liaison between the Legal Department, business operations, outside counsel, and insurance adjusters. Responsible for administering all documents related to most categories of insurance claims and being the first point of contact for insurance adjusters regarding fact inquiries regarding claims. Create and maintain files within RKâ€™s internal systems for managing claims and litigation documents, filings, pleadings, and discovery and disclosure information. Maintain status log of claims and litigation, with regards to key deadlines, points-of-contact, and recent developments. Essential administrative functions including, but are not limited to: scheduling and calendaring; meeting set-ups; document retention (electronic and paper); filing; performing and coordinating certified mailings. Processing of departmental bills, including outside counsel, and vendor invoices, and presenting same to General Counsel for review and approval. Learns the goals, functions, and recurring concerns of the Companyâ€™s various business units so as to effectively carry out the responsibilities and requirements herein.
Qualification and Experience
The candidate should have Bachelorâ€™s Degree in Business Management, Paralegal Studies or equivalent years of work experience is needed. Reports directly to Companyâ€™s General Counsel is needed. Should have 5+ years of experience in contract review and document management in the construction industry, insurance industry, legal departments, and/or law firm environments. Notary Public certification is needed. Working knowledge of Colorado law, with special emphasis on construction and contract law is needed. Experience with Viewpoint Construction Management Software is essential. Paralegal certificate or equivalent work experience is needed. Proficient in Microsoft Office Suite (including Word, Excel, and Outlook), Microsoft Visio, and PowerPoint is essential. Ability to read and understand contracts, insurance policies, commercial leases, and complex business documents from a computer screen, in a quasi-paperless environment for multiple hours at a time is needed. Excellent English language written and verbal communication, and comfort communicating with internal and external contacts, in writing, in person, and on the telephone is essential. Critical thinking and analysis regarding matters which can be handled by this individual contributor, or knowing when to involve RK counsel is needed.
