Lease Administrator Principle duties and responsibilities: Review, revise and abstract various types of transactional agreements in connection with real estate management and leasing. Examples of documents include; commercial retail leases and subleases; license agreements; estoppel certificates; SNDAs; letters of intent; settlement agreements; lease commencement agreements and other real estate-related transaction documents. Candidate should be able to review and interpret leases and LOIs. Communicate frequently with individuals at all levels of the organization, including executives, accounting, legal, and field personnel, including notifying field personnel of critical dates and assisting with general field inquiries. Ability to identify potential problems in leases and resolve quickly on their own. Provide support and materials for weekly, monthly and quarterly operations meetings. Process all documents necessary for store closings and lease terminations/expirations/renewals. Ensure invoices are paid on time and review all past due invoices to ensure proper payment has been made. Research and request appropriate back-up from vendor if necessary. Research and interpret lease language in consultation with attorneys, and provide information and guidance related to real estate and lease matters. Review and confirm that dollars agreed to in LOIs have been translated accurately into lease documents. Proofread drafts of legal documents. Facilitate and track routing and signature of various documents/forms/third-party correspondence. File, fax, scan, copy and distribute lease documents and other correspondence for execution and distribution. Overall control of original lease documentation and maintenance of master lease files. Receive and set up all lease documents electronically in accordance with system requirements; assist with abstracting lease agreements. Pursue recoupment of monies owed to company by landlords under various circumstances, including assessing whether to abate rent. Assist with all aspects of processing lease documents through lease execution. Utilize, update and manage all tools and resources available to manage workload, including checklists, databases, logs, calendars and/or other related reporting tools. Work with other company departments, i.e., accounting, operations and legal, as necessary. Performs other related duties as assigned.
Qualification and Experience
The candidate should have BA/BS or Associate Degree with related experience. Should have 5+ years’ commercial real estate experience/facilities. Paralegal experience is a plus. Advanced level of proficiency in Word, Outlook, and Excel. Experience with ProLease and/or AS400 a plus. Extensive document drafting experience, including redlining, and comparison features. Excellent verbal and written communication skills.
