Executive Assistant The candidate will provide general office management, including overall monitoring, prioritizing and supervising administrative support and clerical functions. Coordinate with IS to maintain the litigation database and build reports for meetings and proposals. Work in the litigation database—enter new lawsuits, track pleadings, discovery, email, and trial dates. Submit all litigation notifications per contract requirements. Track, maintain, and keep current all state registrations with each Secretary of State for Management & Training Corporation and all subsidiaries. Work in contract management system—enter new contracts and related detailed information, and track all contracts for renewal. Maintain calendar of events, schedules, appointments and type minutes of meetings. Coordinate meeting/conference arrangements such as time, place, attendees and matters to be discussed. Assist in coordination of special reports; maintain control of reports due in or out of the office; maintain correspondence control. Act as liaison between the Vice President, other MTC staff and the customer; ensure important information is forwarded to department staff while on travel status. Make travel arrangements, complete travel advance requests and expense reports. Track and maintain all company trademarks. Track and maintain memberships for department staff. Keep a department P-Card for supplies and submit monthly summary reports to finance. Maintain accountability of property adheres to safety practices.
Qualification and Experience
The candidate should preferably have college degree or paralegal certificate. Must have 5-7 years of experience in the area of office management or administrative assistance. Knowledge of personal computers and Microsoft Office programs required, specializing in Word and Excel. Type a minimum of 50 words per minute required. Excellent verbal and written communication skills essential.
