Legal Secretary Duties: Under the direct supervision of the Regional Director, and the general supervision of the General Counsel, the incumbent provides clerical support for the Regional Office. The incumbent performs a full range of secretarial and administrative duties for the Regional Director and other regional staff. The position requires the ability to exercise independence, work under pressure, and apply tact, discretion and initiative in performing the assigned duties. Prepares pleading and other documents for administrative proceedings, California Superior Court and Court of Appeal cases. Preparation of pleadings can include but is not limited to, preparation of table of contents, tables of authorities, as well as conducting independent research to ensure that all rules of court have been complied with prior to filing of pleadings. Because ALRB regional offices file in multiple venues (administrative, state court, trial and appellate courts), legal secretaries must familiarize themselves with rules of court and local procedures. Prepares proof of service and serves documents on parties to the case (via certified mail/facsimile/overnight delivery or whichever other form of service is required by the Board or court). Answers and screens telephone calls in Spanish and English from farmworkers, private attorneys, and members of the public, takes messages and refers to the appropriate attorney or, if appropriate, answers questions regarding office procedures and case status. Perform complex clerical work, including managing, coordinating and scheduling. Maintains and updates the office's master case files. Drafts routine correspondence and handles the office's incoming and outgoing mail. Provide clerical and program support for the Regional Director. Independently calendars dates for filing court documents maintains the office personnel and litigation 5calendar, keeps records and prepares monthly and annual reports relating to attorney work assignments and cases. Other duties as assigned.
Qualification and Experience
_Either I_ Experience_ 1 year of experience in the California state service performing the duties of a Senior Legal Typist, Range B. Or II Experience_ 2 years of experience in a private law firm, corporate law office, or a legal program in a governmental agency performing a full range of legal secretarial duties, which requires the preparation of legal documents for filing and service. [(1) Academic education above the 12th grade may be substituted for six months of the required experience on the basis of either (a) one year of the general education being equivalent to three months of the required experience, or (b) one year of education of a business or commercial nature being equivalent to six months of the required experience
