Legal Assistant Responsibilities: Creates, modifies, prepares, and proofreads documents related to attorney’s work. Researches, collects, and assembles documents, as requested by attorneys. Types and proofreads legal documents including, but not limited to, motions, pleadings, interrogatories, and subpoenas to be filed in court. Types from dictation mainly medical record and deposition abstracts. Prepares documents for trial. Files, sorts, retrieves, and distributes legal materials. Provides administrative support and performs general office duties for department. Handles photocopying, sending and retrieving faxes, answering telephones and taking messages, and receiving and escorting law department visitors. Opens, sorts, and prioritizes mail and alerts attorneys with time sensitive or urgent materials to include open records, motions, and pleadings. Reviews attorneys' schedules for conflicts and determines priorities. Provides recommendations to staff, clients, and other city employees. Maintains office files and records. Assists with developing and updating standardized legal forms and documents. Sets up depositions with witnesses and requests checks for witness and professional fees. Arranges meetings, conference calls and reserves conference rooms for law department staff. Delivers or arranges delivery of documents to judges’ chambers, other law firms, etc. Assists with maintaining the law department’s docket of cases, including tracking litigated cases, hearings, pre-trial motions, and trial dates. Performs related duties as assigned. Reporting to this position are the following jobs:
Qualification and Experience
Qualifications: Prioritizing competing responsibilities and heavy workload, while meeting strict deadlines. Keeping abreast of Authority standards and legal best practices in performing all aspects of work. High School diploma, plus three (3) years of general office experience in a legal services environment, or an equivalent combination of education and experience relating to this position. Required to be a Commissioned Notary Public within ninety (90) days of employment in this position. Required to type at a minimum rate of speed of 45 words per minute. Requires sitting for extended periods of time, standing, visual acumen, manual dexterity, and fingering for working with computer keyboards. Working knowledge of legal office procedures and practices. Working knowledge of legal terminology and document preparation practices. Working knowledge of basic legal research procedures. Working knowledge of basic standard office administrative practices and procedures. Working knowledge of Microsoft Suite including Word and Excel and trial visual aids. Strong written and oral communications skills. Strong proofreading skills. Strong typing skills. Ability to use discretion when working with confidential information. Ability to organize work, set priorities, meet critical deadlines, and follow-up assignments with minimum direction. Ability to establish and maintain effective working relationships with attorneys, Authority personnel, and external contacts.
