Intellectual Property Specialist Duties: Collaborates with internal business units to secure requested third party assets for inclusion in print, digital media, and marketing products—evaluates licensing needs, researches and identifies alternate selections, and manages projects to reduce cost and minimize risk liabilities. Grants reprint rights as requested and partners with and oversees the management of Copyright Clearance Center (CCC) contract—identifying and managing implementation of new revenue opportunities, preparing financial forecasts, and researching, validating and maintaining appropriate grant fee structures, and works to achieving determined benchmarks for growth. Manages vendors assigned to complete the licensing and permissions acquisitions, ensures vendor compliance with SAE intellectual property processes, and monitors creation of licensing logs and databases to improve transparency into licensing terms, restrictions, and usage requirements. Initiates, reviews, and maintains issues logs on a per project basis—taking responsibility for identifying and coordinating resolution of technical and business issues as they relate to intellectual property usage. Audits image and media databases for adherence to grants and credit line compliance and for identifiable content gaps and actively reviews and compares product line intellectual property usage reports against licensing terms to ensure appropriate application to digital, print, derivative and custom grant terms and usage rights. Completes required rights management tasks, including working with authors and committees to evaluate acquisition, repurposing and licensing needs, analyzing manuscripts to identify licensing requirements, coordinating acquisition efforts to meet scheduled product completion dates, validates receipt of usage payments. Partners with cross-functional teams to identify new asset requirements, determine usage needs for rights managed assets, and develop licensing guidelines for emerging technologies and media. Reports to management and coordinates budget and resource options. Contributes to the development of policies, programs and schedules, based on identified rights management needs, industry trends, company processes, or changes in products, procedures, or services. Monitors industry trends, process, technology and culture to identify and research new methods, tools, and change management initiatives to support realization of SAE’s strategic vision. Represents licensing and rights management issues to up-lines for determining training and technical needs while assisting in the development and implementation of training tools to increase understanding of licensing and rights management requirements. Communicates project status to identified stakeholders through reports and meetings notes—informing management of the status toward programs and goals and serving as a key resource for understanding Fair Use application. Ensures accurate use of intellectual property and third-party assets within products to support revenue growth.

Qualification and Experience

Qualifications: Associates degree in Legal/Paralegal, Library, Information, Data or Computer Science, Project Management, Analytics required. Bachelors degree is strongly preferred. 2+ years with direct experience managing content licensing acquisition, rights management activities related to content development, publishing or learning solutions environment. Experience in building and managing databases in an academic or business environment. Experience working and managing contract fulfillment and compliance. Experience managing vendors and monitoring multiple concurrently running projects. Experience leading projects, defining requirements, executing on deliverables, reporting out status, identifying project risks. Experience working in legal or copyright environment—Copyright Certificate, preferred. Strong knowledge of copyright requirements. Solid understanding of contract terms and experience in managing compliance requirement fulfillment. Excellent time management, resource management ,and planning skills with excellent analytical and critical thinking skills with attention to detail and emphasis on speed and accuracy. Exceptional oral and written communication skills rooted in clarity and factual analysis in a diplomatic manner. Self-motivated, positive, analytical, detail-oriented, quick learner who seeks to exceed expectations.
