Real Estate Legal Assistant/Paralegal Duties: Acts as point person for compliance with NYS and NYC Lobbying Acts for the Department’s land use work. Assist on a wide variety of transactional commercial real estate deals, following each deal from its inception through the closing and post-closing phases. Act as point person for compliance with NYS and NYC Lobbying Acts for the Department’s land use work; Coordinate with land use attorneys regarding which clients need to be registered as lobbyists and prepare necessary documentation to properly register clients with NYS and/or NYC, as necessary; Coordinate with accounting on a bi-monthly basis to obtain relevant time and expense reports on lobbyist clients; Work with applicable attorneys to identify lobbying activity during the relevant time period; File bi-monthly lobbying reports with NYS and NYC; Prepare summaries for clients to enable them to fulfill client reporting requirements; Communicate with client lobbyists regarding reporting requirements and responsibilities; Assist on a wide variety of transactional commercial real estate deals, following each deal from its inception through the closing and post-closing phases; Prepare, monitor, and track closing documents and closing checklists; Prepare, review, and coordinate signature pages; Order and review title reports, departmental searches, surveys, PZR reports, lien searches, and serve as the primary point of contact for the corresponding third parties; Assist with ordering title, clearing title encumbrances, reviewing title reports, surveys, and documents of record; Perform other real estate due diligence; Assist with closings, including attendance at closings; Assemble final closing documents and prepare closing binders.
Qualification and Experience
Qualifications: Associate’s Degree or equivalent certification. Paralegal certificate a plus. 2+ years’ experience as a legal assistant in a transactional practice. Prior experience with NYC/NYS lobbying filings a plus. Prior real estate experience a plus. Ability to be resourceful and coordinate all phases of a closing. Excellent interpersonal, verbal, written, organizational, and presentation skills. Must be able to work extensive overtime. Proficiency with various software programs including Outlook, Word, Nuance, Excel, and use of the Internet.
