Administrative Assistant – Mass Torts and Medical Devices Duties: Responsible for management of staff administration and multiple business aspects of the local (Uniondale) office of a mid-size, multi-site law firm. Collaborates with various departments (HR, Facilities, IT, Business Development, Finance, etc.) to manage firm objectives. Provide high level administrative litigation support to multiple attorneys. Transcribing and typing correspondence, memoranda and legal forms. Proofreading and ensuring quality of legal documents. Respond to a high volume of phone calls; transmit messages accurately and promptly. Maintain organized and updated litigation files and billing files. Maintain updated matter and client lists. Maintain calendars and schedule appointments, meetings and conference calls. Review and prepare new client matter forms. Process check requests and expense reimbursements. Process incoming and outgoing mail. Document scanning, profiling and retrieval. And perform other additional administrative duties as needed.
Qualification and Experience
Qualifications: 5+ years' legal experience as a Legal Administrative Assistant. Defense litigation experience required. Experience in Mass Torts and/or Medical Device practice areas is required. Experience using traditional and digital methods of dictation. Military experience a plus. Minimum typing speed 65 wpm. Must have intermediate to advanced skills in Microsoft Word, Outlook, Excel and PowerPoint, including advanced skills in the use of TOCs, TOAs and styles. Must exhibit well-developed interpersonal and client relation skills. Exceptional verbal and written communication skills required. Excellent organizational skills. Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere.
