Senior Specialist, Legal Support
Duties: Manage all aspects of outside counsel invoicing - responsible for onboarding outside counsel to the e-billing platform, setting up new timekeepers, monitoring and responding to questions and issues from outside counsel and department members, and manually entering legal invoices in the matter management system as needed. Research invoice issues - conduct a daily review of invoices processed; partner with Accounts Payable to research and respond to invoice processing or payment issues. Act as business systems administrator of the department’s matter management/e-billing application -responsibilities include user provisioning, job monitoring, troubleshooting system issues, and configuration changes. Support department in matter management/e-billing reporting - responsible for creating custom queries, generating reports, and assisting others in the generation of reports from the matter management/e-billing application. Monitor outside counsel engagement process - generate reports, update spreadsheets, verify completeness and accuracy of data, and the like; partner with vendor management to research and respond to questions and issues. Support the Legal Services department as its Records Coordinator. Handle registrations and approvals for department memberships and subscriptions.

Qualification and Experience

Qualifications: A Bachelor’s Degree or Associate’s Degree with substantial applicable work experience. Experience as an administrative assistant, legal administrator, paralegal, or project manager. Proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint. Experience with legal e-billing systems is desired. Strong organizational skills and attention to detail. Excellent interpersonal and communication skills. A growth mindset, including an eagerness to learn and take on additional responsibilities. Friendly, approachable, and customer-service-oriented demeanor. Service-oriented and collaborative. Organizational skills. Ability to prioritize assignments against deadlines. Attention to detail.
