Legal Secretary III Duties: Performs complex legal secretary work. Work involves providing legal and administrative support in a team environment for Administrative Law Judges (ALJs). Work involves handling legal correspondence and documents, maintaining filing systems, word processing, data entry, and general administrative support duties. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Performs administrative, legal, and technical support to ALJs, who conduct contested case hearings for various state agencies. Reviews case filings for completeness and transmits them to appropriate persons. Organizes, indexes, and files legal and administrative documents. Performs moderately complex word processing of legal documents, correspondence, orders, and proposals for decision, which may include legal terminology and technical, financial, medical, and legal discussions, and maintains and protects the confidentiality of same, as required. Assists ALJs in managing and maintaining case files, as requested, including but not limited to organizing, filing, indexing, and retrieval of files. Organizes hearing materials. Responds to inquiries regarding SOAH rules, cases, policies, and procedures without giving legal advice.Prepares correspondence, reports, studies, forms, and documents. Prepares and proofreads legal and administrative documents. Coordinates and maintains record keeping and filing systems. Coordinates with ALJs regarding contested case hearings. Coordinates travel arrangements for ALJs and prepares or processes related paperwork and files. Assists in the development of administrative or technical assistance policies and procedures and in analyzing and seeking solutions to problems. Performs or coordinates work between organizational units of SOAH. Distributes mail and other documents as needed. May train other legal and/or administrative support staff. Attends work regularly in accordance with agency leave policies. Complies with all applicable security and safety rules, regulations, and standards. Performs related work as assigned.
Qualification and Experience
Qualification: The candidate should have graduation from a standard high school or equivalent.. Should have 3+ yearsâ€™ experience in legal secretarial/administrative positions, requiring expertise in office practices and procedures, legal principles, and administrative support. Must have experience in the use of MS Word, MS Excel, and database software programs. College credit may be substituted for experience on a year-for-year basis is essential. Typing/word processing speed of 45 WPM is preferred. Must have knowledge of record keeping systems and data base management; knowledge of general office practices, basic writing, grammar, spelling, and arithmetical
applications; Knowledge of legal terminology; skill in the use of computers and office equipment. Skill in the use of Windows, Outlook, and Microsoft Office products, including MS Word and MS Excel is essential.
