Paralegal Specialist The candidate will receive, investigate, respond to, resolve and maintain data on all inquiries, complaints and disputes between the division, unit owners, boards of directors, board members, community association managers and other affected parties. Will encourage, facilitate and attend as a neutral resource, voluntary meetings with and between unit owners, boards of directors, board members, community association managers and other affected parties to resolve issues in order to avoid elevation of the dispute to a formal or administrative remedy. Identify, recommend and develop as appropriate, policies and procedures to assist unit owners, boards of directors, board members, community association managers, and other affected parties to understand their rights and responsibilities as set forth in Chapter 718, Florida Statutes, and the condominium documents governing their respective association. Monitor and review procedures and disputes concerning condominium elections and meetings; draft recommendations for enforcement action to the Division of Florida Condominiums, Timeshares and Mobile Homes. Log and track all division action on any such recommendations. Identify and make recommendations to the Ombudsman for changes in division rules and procedures for the filing, investigation, and resolution of complaints filed by unit owners, associations and managers. Maintain case files and data on all inquiries, complaints and disputes received and processed. Develop and implement a system for reporting data on all activities of the office. Assist in the preparation and distribution of educational and reference materials and resources. Draft correspondence as directed by the Ombudsman or Attorney. Other related duties as assigned. Should have knowledge of Chapter 718, Florida Statutes, and the administrative rules governing condominiums. Knowledge and understanding of the condominium concept form of ownership is required. Must have knowledge of Robert's Rules of Order; ability to act as a neutral third party in disputes. Should have the ability to communicate effectively, both orally and in writing. Should have the ability to make decisions and solve problems based upon evaluation and reasoning with the data and information accumulated. Must have completion of a training program to become a legal assistant, a paralegal, a legal paraprofessional or a lawyer's or attorney's assistant; or 2 years of experience involving paralegal work; or 2 years of experience in legal secretarial work. Fluency in both English and Spanish is preferred. Posting Closing Date: 04/17/2018.
