Paralegal Specialist The candidate will be responsible for managing the NMF-NVIT Board-reporting production process, primarily utilizing electronic systems such as SPOT, for: the four sets of Quarterly NMF-NVIT Board and Committee Meetings, (b) the two Annual Section 15 Advisory Contract-Renewal NMF-NVIT Board Meetings; (c) any Special NMF-NVIT Board and Committee Meetings that may arise, and assisting with the Trustee Educational Retreat every other year. Overseeing the receipt, review, finalization, tracking, and overall electronic management of the board and committee meeting materials for the Board and Committee Meetings. Working with NFG associates and leaders, 2 sets of outside counsel, and third-party vendors to ensure the accurate and complete preparation of meeting materials by established deadlines. Preparing initial drafts of certain standard annual and quarterly reports to the Board and Board Committees. Supporting the annual NMF-NVIT production process for the two sets of annual Section 15(c) advisory contract-renewal Board Meetings. Assisting with certain annual-reporting matters, including (a) mutual-fund insurance policy and fidelity bond renewals; participating insurance company “mixed-and-shared-funding†letters; and Board and Committee Meeting reports and materials, especially for regulatory inquiries, inspections, and examinations. Supporting special initiatives and special projects such as the streamlining and improvement project for board materials, and general legal work undertaken by the Mutual Funds Legal team. Provides the highest level of administration and professional assistance and support to the legal staff in the development, research, management and resolution of legal issues involving their respective business units. Prepares and drafts complex legal documents, agreements and pleadings related to litigation and non-litigation matters. Works independently and with substantial latitude for un-reviewed actions or decisions. Provides the highest level of legal support services to attorneys and counsel in the form of legal research, drafting of legal and business communications, and document preparation for trial. Requires little supervision in the execution of assigned tasks. Conducts the broadest and most complex and detailed legal research and compiles data from such references as on-line references, digests, practice manuals or other sources. Researches and provides analysis of statutes, regulations and court decisions. Prepares summaries of digests and recommends resolutions to legal questions. Prepares memos to internal and external contacts. Drafts contracts, patent applications, resolutions and other legal documents. Works with attorney on unusual matters. Drafts detailed deposition outlines/questions, motions, pleadings, subpoenas, orders and briefs. Conducts and supervises broad level assignments, necessitating the ability to evaluate matters which may have a major impact on the conduct of the company. May assist the attorney in executing moderate legal matters. Leads the analysis and evaluation of records and data for discovery. Drafts recommendations and correspondence to clients, claims attorneys, and customer with regard to discovery and legal matters. Develops and maintains internal information data bases. Creates new processes for data maintenance, storage and retrieval. Conducts and evaluates open and closed paralegal file audits and informs attorneys and management of the audit results; makes appropriate recommendations for improvement. Assists in the development and implementation of policies, procedures and precedents for the paralegal area. Serves as subject matter expert, coordinates workflow and mentors/trains lower level paralegals. Responds to requests for production o documents, response to interrogatories, and coordinates pre-trial proceedings and discovery.
Qualification and Experience
The candidate should preferably have Undergraduate or post-graduate studies in business administration, insurance or other related area. Certification in paralegal studies is desired. Must have 8+ years experience as paralegal with proven performance. Advanced knowledge of paralegal, concepts, practices and procedures is needed. Advanced knowledge of the operations, practices and procedures of general counsel or civil litigation is must. Proven knowledge of filing requirements of relevant courts and administrative agencies is essential.
