Corporate Legal Secretary Duties: The candidate coordinates schedules, draft legal documents, take messages and answer telephone calls, assist attorneys with client development efforts, and file and coordinate case filing projects with the assigned file clerks if applicable. Welcomes guests and clients by greeting them in person or on the telephone; answering and/or directing inquiries. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves attorney's time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; drafting, formatting, and revising letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; obtaining checks; scheduling couriers and other special functions; coordinating preparation of charts, graphs, and expense reports. Maintains attorney calendar by planning and scheduling conferences, teleconferences, attorney schedules, and travel arrangements. Responsible for responding to, updating, maintaining, and revising audit response letters to clients for the Firm, maintaining files, and updating information on the client database as it relates to the audit response letters. Assists attorneys in maintaining and updating clients' and contacts' contact information and various client development efforts. Opens new client matters files and maintains a list of client matters for attorneys; assists attorneys with conflict checks. Represents attorney by communicating and obtaining information; following up on delegated assignments; knowing when to act and when to refer matters to the attorney. Assists in the submission of billable time and reimbursable expenses; reviewing and preparing invoices and communicating with clients concerning invoices. Maintains client confidence by keeping client/attorney information confidential. Utilizes electronic filing and retrieval systems and supervises file clerks. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and making recommendations. Working knowledge and experience of the law firm industry including office and department procedures, workflows, and organization. Ability to effectively communicate with clients, counsel, third parties, etc., and maintains regular contact with all parties. Flexibility to multi-task and effectively balance priorities to meet deadlines. Communicates well, shows teamwork effort, and collaborates well with everyone you come in contact with. When another secretary is absent in the corporate/transactional area, provide support to the attorneys as needed. Exceptional customer service and people skills and work within a team concept. Special projects as assigned.
Qualification and Experience
Qualifications: The candidate should have a High School diploma required for this role. 2-4 years of undergraduate degree or technical/trade school degree preferred but not required. A minimum of 5 to 8 years of experience and exposure working as a legal secretary in a law firm in the corporate or real estate group is required. Exceptional computer skills and proficiency using Microsoft Office products, including Word, Excel, Outlook, PowerPoint, and Adobe Software. Experience working with various practice and case management databases (iManage), and timekeeping and billing systems. Must possess excellent English communication skills with the ability to speak and write clearly and informatively and able to read and interpret information. Must be able to maintain confidentiality. Must be willing to work additional hours and weekends as required for the role. Must be dependable and adhere to firm policies and procedures and work the required hours for the role. Exceptional communication, customer service, organizational, time management, and detail-oriented skills are required for the role. Must be able to sit for long periods of time at a computer terminal and bend, stoop and lift up to 25 lbs. Must be able to read and write the English required for the role. Ability to work under the supervision of the assigned attorney(s) and provide support to the corporate/transactional group. Must possess a team-oriented work ethic and attitude and logical mind and be able to resolve conflicts and relate well with various types of persons.
