Legal Assistant DUTIES: Responsible for assigned attorney(s) telephones including but not limited to taking messages for attorney(s) and forwarding via email. Handle all Incoming Mail for assigned Attorneys (Opening Mail, etc). Screen and handle incoming Promo Calls relating to CA Representation. Responsible to ensure that the information in InterAction is correct. Ensure that all CA files for their attorney(s) are opened correctly. Double check conflicts checks, CMF’s and file once opened to ensure they are done correctly. Transcribe from tapes and/or Bighand: letters, memos, amendments, mechanic lien packages, addendums, covenant enforcement letters, general contracts and the like. Edit/correct documents and finalize for processing (whether via email, fed-ex, fax or mail). Prepare Annual Meeting Packages. Prepare Special Meeting Notice Packages. Prepare Audit Letters. Enter time in CMS for assigned attorney(s); correct Unbilled Time Report prior to deadline. Ability to work with our accounting software (CMS) to determine amounts owed by clients, last payment received, write-off’s and billing adjustments. Draft letters and payment plans for clients to pay down a/r. Keep track of renewal/non-renewals for assigned attorney(s). Assist Attorney with Oars. Process CA Attorneys’ Expense Reports. Arrange all CA Attorney Travel. Input Attorneys CLE Credits. File in Matter Centricity when needed. Keep attorney(s) calendar, confirm meetings, etc. Able to perform corporate searches and work around the State and DBPR website. Assist with attorney(s) CA workshops and/or speaking engagements. Registered Agent filings. Delegate NCP’s (New Client Packages) to Department Assistant.

Qualification and Experience

REQUIREMENTS: 5+ years’ experience as a legal assistant in a large law firm or corporate legal department environment. Requires excellent clerical skills and strong command of grammar, spelling and punctuation. Shall be proficient in the use of word processing and other automated equipment, including transcription equipment and software packages currently being used by the firm. Heavy typing and transcription are required with typing speed of 60 WPM.
