ProfileLegal Administrator- The candidate will work with multiple attorneys and paralegals to track and follow up on department projects; assure all required data, forms, contracts, etc., are clear, complete and concise in the matter management system. Requires daily contact with all levels of management, often on highly sensitive and confidential issues. Interaction requires interpretation, persuasion, sound judgment, and extreme discretion. Attend and take notes at meetings and assist attorneys and paralegals in collecting legal and factual records. Assist to prepare legal documents and update with the most recently negotiated language. Transmit legal correspondence to clients, witnesses, vendors and court/regulatory officials by electronic filing, mail, fax or messenger. Assist with projects, administrative work and billing/ invoicing as required by Operations team. General Administrative Support: Other administrative support, as requested. Read and prioritize mail, highlight actions and author responses. Schedule appointments and control calendar(s). Actively participate in decisions affecting executive management and/or department schedule/priorities. Schedule group meetings and plan events. Prepare confidential spreadsheets, draft complex documents and perform data entry. Analyze and verify data used to prepare various reports. Arrange travel, prepare expense reports, answer phones as well as organize and maintain case and correspondence files. Enter expense reports and follow-up on approvals. Other administrative tasks, as requested. Should have Coursework or specialized training related to position including certifications, etc. Must have Associates degree or equivalent work experience. Should have 5+ years Coordinator or Law Department administration or equivalent experience.
