Profile

Documents and Legal Administrator. The candidate will assist with development of legal contracts, agreements, and other documents in support of contract service studies and product sales. Proactively drive efficient communication, information, and data between sales and operations to deliver benchmark results for contract and document accuracy along with turnaround time for delivery to customers. Maintain and update document templates for contracts and other legal documents. Maintain a database on contracts, agreements, and other documents, and drive the continuous update of this system for efficient, user friendly electronic or active tracking in direct alignment with Company CRM and evolving systems. Maintain and provide metrics related to the areas considered useful to business. Determine categories and KPI’s to accurately measure success and improve strategies. Determine and trend types of requests and maintain an organized system of monitoring categories for quarterly review with evaluation for high request areas for legal review. Maintain a database on approved forms for study/client specific support requirements, as needed. Assist staff with proper formatting of related documents and preparation/maintenance of related SOPs and forms, as applicable. Adhere to all regulatory requirements and policies and procedures. Demonstrate effective lateral leadership with peers and colleagues to accomplish goals. Utilize Company CRM program to regularly record activity and update client records. Assist Commercial Operations Leadership and company management in evaluating the overall market, monitoring legal concerns, and developing new/improved strategies.Interface with Sales Team, and Clients when requested by Commercial Operations, to advance growth. Demonstrate effective communication with internal personnel. Attend meetings and conferences as requested. Drive cost saving measures and efficiencies into the contract review process, including areas of standardization, elimination of unnecessary redundancy, effective communication platforms with field sales, and effective internal communication for rapid completion of tasks. Manage, review, control and maintain customer related legal documents such as non-disclosure agreements, master services agreements, letters of intent and others in electronic format and paper format as necessary. Ensure legal document activity is recorded in Company CRM. Use approved support during heavy workload periods (VP of Commercial Operations, VP of Finance and Administration, and HR Manager; COO can assist if other members are unavailable; Company legal counsel may be used with pre-approval from COO or VP of Finance and Administration on a case by case basis). Effectively communicate with Commercial Operations, as well as with client’s legal and administrative staff when requested by Commercial Operations, in the contract review process. Deliver reviewed contracts and contract finalization within expected timelines and follow-up with delivery and receipt of fully executed contracts. In conjunction with Commercial Operations, negotiate with client’s legal staff to resolve disagreements with contract terms and seek mutual acceptance and benefit for both parties while protecting company’s key assets. Ensure specific client contract terms are documented in Company CRM and other client needs database and communicated as applicable to scientific staff. Facilitate and benchmark rapid turnaround of legal document review. Demonstrate effective team work with peers and colleagues to accomplish goals. Employ deep thinking and challenges to generate ideas and creative solutions for continued efficiency and company gains.

Qualification and Experience

QUALIFICATIONS: Bachelor’s Degree and 3 years of relevant legal experience preferred. Experience may be substituted for degree. Law degree may be substituted for legal work experience. Ability to communicate complex and technical information clearly and persuasively. Ability to read, analyze and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries of complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups and/or boards of directors. Ability to communicate using a combination of business and scientific terms in a persuasive, appealing, and professional fashion. Ability to apply mathematical operations to tasks that relate to understanding or communicating basic performance and use characteristics of life-sciences products. Ability to elicit information, opinions, and draw valid conclusions. Ability to interpret technical information in mathematical or diagram form, and relate different, and seemingly independent factors to identify patterns. Competent in utilization of personal computers and peripheral equipment (i.e., printers). Experience with word processing and spreadsheet software. Ability to learn new software programs, as needed. Someone who demonstrates ownership, accountability, integrity, and teamwork.
