Executive Legal Assistant – Health Care
The candidate will be responsible for assisting a senior-level attorney with executive support. This includes performing a wide variety of administrative tasks such as reading and managing emails, scheduling appointments, including a high level of customer service and support, while consistently producing an excellent work product. The Executive Legal Assistant maintains general knowledge of the firm’s practice groups and specialized knowledge of the assigned attorneys’ practice area(s) and clients in order to ensure extraordinary client satisfaction. Manage the day-to-day schedules of the senior-level attorney; includes regular meetings to discuss priorities and deadlines. The ability to be proactive and think ahead are key. Read and manage emails. Assist senior-level attorney with the preparation of template contracts and other legal documentation of a routine nature; create, edit and proofread work product to ensure accuracy. Maintain calendars including appointments, meetings, travel and trip plans, CLE reporting, and professional memberships for attorneys. Prepare and maintain spreadsheets and databases for legal files and initiatives. Routine research statutes and laws. Processing reimbursements, expense reports, and check requests. Effectively manage projects by meeting deadlines and conducting follow-up as needed. Responsible for coordinating with Marketing and the Chief Planning Officer around marketing initiatives; coordinates with the Marketing Department to update attorney bios, add events, articles, or news to the firm’s website. Assist with event planning, coordination, and support, including internal and external events. Inputs, reviews, edits, and closes timekeepers’ time entries through the firm’s web-based time entry program using firm standards. Creates engagement letters, opens new matters, and generates client conflict checks. Sets up and maintains timekeeper’s work files, including daily and regular filing. Prepare annual and/or supplemental audit letter responses. Answer telephones and accurately take and relays messages. Arranges for video conferencing and sets up conference calls. Assume responsibility for maintaining the highest level of confidentiality of all Firm and client information, records, and files, both within and outside of the Firm. Should preferably have Law firm experience working with high-level partners. Attention to detail and good organizational and analytical skills. Should be flexible attitude and the ability to deal well with changing assignments and priorities; Flexible for overtime; Ability to multi-task. Billing experience preferred (including electronic billing). Should have a working knowledge of Microsoft Word, Excel, and PowerPoint. 60 wpm typing speed, excellent grammar, spelling, punctuation, and communication skills.
